Overview

Incumbents in the Staff Assistant III position perform a variety of complex administrative, technical, and operational support duties for a specified department or program. This position provides direct administrative and technical support to the Director of Operations and Facilities and supports multiple service areas, including Mail Services, Motor Pool, and Grounds.

Responsibilities

  • Provides administrative and technical support to the Director of Operations and Facilities, including coordination of activities for Mail Services, Motor Pool, and Grounds operations.
  • Performs advanced office duties, including answering phones, directing inquiries, data entry, filing, and maintaining operational records and documentation.
  • Assists with scheduling, meeting coordination, travel arrangements, and purchasing card (P-Card) reconciliation and documentation.
  • Serves as a liaison between Facilities Operations and campus departments to resolve service requests and operational matters.
  • Supports and maintains computerized systems, including the Computerized Maintenance Management System (CMMS), access control platforms, and key management systems such as S2, SimpleK, and KeyWatcher.
  • Coordinates campus key control processes, including issuing and tracking keys, maintaining accurate records, and ensuring compliance with institutional policies.
  • Oversees campus Key Guards and assists with the coordination of their assignments and responsibilities.
  • Conducts and documents annual audits of campus access control and key management systems to ensure accountability and compliance.
  • Sorts, screens, and distributes incoming and outgoing mail as needed to support operational areas.
  • Prepares correspondence, reports, spreadsheets, and operational documentation.
  • Assists with data tracking, research, and reporting to support departmental planning and decision-making.
  • Maintains confidentiality of sensitive information related to personnel, security access, and departmental operations.
  • Performs miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualtifications: 

  • Four years of experience; or an associate degree/technical training plus two years of experience; or a bachelor’s degree is required.
