Overview

The Office of Enrollment Management seeks a detail-oriented and technically proficient individual to serve as an Enrollment Systems Data Assistant. This part-time position plays a critical operational role in maintaining data integrity, processing daily imports, and resolving system errors across our core enrollment technology platforms — including Salesforce Education Cloud, Recruit CRM, Ellucian Banner, and Xtender. Enrollment management is a fast-paced, deadline-driven environment in which the accuracy and reliability of student data directly affect application completion timelines, reporting quality, and the effectiveness of outreach to prospective students.

Responsibilities

Data Management & Integrity

  • Conduct routine review and resolution of duplicate records within Salesforce Education Cloud and Recruit CRM to ensure a single, accurate profile is maintained for each student
  • Investigate and resolve daily data discrepancies, including matching orphaned test scores to prospective student records, auditing records for missing high school information, and addressing Prospect Import errors
  • Clean and audit Shamrock import data to ensure consistency and accuracy across systems

Import Processing & Verification

  • Execute routine manual data imports accurately and on schedule, including AP Scores, Meadow data, Declared Encoura lists, and standard test score files
  • Monitor and audit daily automated imports to verify successful data transmission between integrated systems and promptly identify any failures or discrepancies

System Support & Troubleshooting

  • Monitor and resolve routine integration errors across the enrollment technology stack, including Salesforce Education Cloud, Recruit CRM, Ellucian Banner, and Xtender
  • Serve as a primary point of contact for resolving user login issues

Document Processing & Investigation

  • Monitor the dedicated transcript email inbox, ensuring all incoming documents are promptly downloaded, accurately sorted, and properly indexed
  • Investigate missing or unprocessed transcripts — including documents received but not uploaded, items held in unassigned queues, or misfiled records — to facilitate timely application completion

Qualifications

  • Exceptional attention to detail and strong organizational skills, with the ability to manage multiple ongoing tasks in a dynamic environment
  • Demonstrated persistence and analytical aptitude for investigating data discrepancies and resolving document-related issues
  • Proficiency or demonstrated ability to learn database and CRM platforms; prior experience with Salesforce Education Cloud, Ellucian Banner or Xtender is strongly preferred
  • Candidates without direct CRM experience who demonstrate strong technical acuity and a capacity for self-directed learning are encouraged to apply
  • Commitment to handling sensitive student information with the highest level of confidentiality and in full compliance with FERPA regulations

Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes. The employee is regularly required to sit and often uses repetitive hand motions. The employee is frequently required to reach with hands and arms and may lift and/or move up to 10 pounds.

 

This position requires sustained attention to detail and the ability to manage multiple concurrent tasks in a fast-paced, deadline-driven environment. The employee must be able to analyze data, identify discrepancies, and exercise sound judgment while navigating multiple software systems simultaneously. The ability to remain focused and accurate when performing repetitive tasks and to communicate effectively with team members is essential.
