Overview

The Jon M. Huntsman School of Business is seeking applications for a Program Coordinator III to provide leadership, oversight, and strategic support for its Master of Business Administration (MBA) programs, including face-to-face, broadcast (Zoom), and online formats. The working title of this position is MBA Associate Director.

 

The MBA program is an interdepartmental business graduate degree built on a foundation of leadership, value, and flexibility for working professionals. The program is one of the largest graduate programs at Utah State University (200+ students year-round) and is committed to delivering an exceptional experience for students, faculty, and stakeholders.

 

This position plays a key role in managing program operations, program development, and ensuring the continued success and growth of the MBA programs. The work environment is dynamic, collaborative, and engaging, offering opportunities to contribute ideas, improve processes, and work closely with colleagues who value teamwork and innovation.

 

The office culture emphasizes outstanding customer service, respectful professionalism, and continuous improvement in all aspects of daily operations. This position reports to the MBA Director.

Responsibilities

Marketing, Recruiting, Communication, and Outreach – 30%

  • Provide leadership and support throughout the full student lifecycle, including prospective student inquiries, transfer credit evaluation, application review, interviews, admissions decisions, orientation, academic advising, course selection, academic standing, program completion, and graduation. Support the MBA program’s continuous carousel model, in which students are admitted each semester and graduate each semester.
  • Develop and execute strategic marketing and recruitment plans aligned with enrollment goals and program budgets. Collaborate with the MBA Director and Program Coordinators to create and implement targeted marketing and recruitment initiatives for the various MBA programs.
  • Lead recruitment efforts for all MBA program offerings with a focus on attracting high-quality students from a wide variety of disciplines.
  • Serve as an ambassador for the Jon M. Huntsman School of Business and Utah State University at recruiting events, information sessions, open houses, MBA events, and professional organization events.
  • Foster positive relationships and create meaningful opportunities to strengthen the Huntsman School’s engagement, reputation, and goodwill with students, alums, and external stakeholders.

Program Development – 30%

  • In collaboration with the MBA Director, develop and implement strategic plans for the MBA programs. Assess current and future program needs, including curriculum topics, instructor assignments, learning objectives, instructional methods, and program locations.
  • Facilitate clear, timely, and effective communication among the MBA Director, MBA Office Staff, Graduate School, Statewide Campuses, Graduate Admissions, Program Faculty, Academic Departments, Associate Deans, and the Dean’s Office.
  • Work collaboratively to ensure daily operations, initiatives, and decision-making align with the strategic goals and long-term vision of the Huntsman School of Business and the MBA program.

Program Management and Delivery – 30%

  • Provide strategic leadership and operational oversight for all aspects of the MBA programs (face-to-face, broadcast (Zoom), and online formats), including recruitment, admissions, enrollment, student advising, program delivery, and graduation processes, to ensure a high-quality and student-centered learning experience.
  • Develop and implement innovative systems, processes, and best practices that enhance operational efficiency, strengthen program effectiveness, and improve services across all MBA program formats.
  • Coordinate and manage MBA course scheduling in collaboration with the MBA Director and the Huntsman department heads to secure qualified instructors and optimize resource allocation, program quality, and student satisfaction.
  • Partner with the MBA Director and Program Coordinators to support the execution of program assessment initiatives and accreditation requirements, ensuring compliance and continuous improvement.
  • Oversee the coordination and delivery of off-campus MBA programs and cultivate strong working relationships with representatives at program sites throughout the state.
  • Collaborate with the MBA Director to develop and support Global Learning Experiences (GLEs), ensuring high-quality program planning, coordination, and student support before, during, and after international MBA travel experiences.

Financial and Operational Oversight – 10%

  • Develop an annual MBA budget in collaboration with the MBA Director. Manage and monitor the MBA budget, including approving expenditures, forecasting operational and personnel costs, and ensuring all financial activities comply with university fiscal policies and procedures.
  • Maintain accurate financial records, documentation, and receipts, and provide timely reporting and reconciliation support to Business Services.

Supervisory Responsibilities

  • Foster positive and productive relationships among students, faculty, and staff by proactively addressing complex issues and supporting a collaborative, student-centered learning environment that emphasizes professionalism, teamwork, and continuous improvement.
  • Hire, train, mentor, and supervise administrative staff, including the Program Coordinator I (Executive Program), Program Coordinator I (Online Program), Shingo MBA Program Coordinator, and student employees, ensuring effective performance, successful implementation of processes, and consistent support in resolving complex operational challenges.

Qualifications

Minimum Qualifications

  • Masters degree or Bachelor's degree in a related field plus a minimum of 2 years related professional work experience; or equivalent combination of education plus experience.
  • Strong written, oral, and interpersonal skills and the ability to work effectively with a wide range of constituents in a diverse community.
  • Strong technical skills in Microsoft Office.
  • Demonstrated experience in budget development and management.
  • Due to the nature of the graduate program schedule, flexibility to work on some evenings and weekends is expected.
  • Demonstrated strong work ethic and ability to be proactive and work on one’s own with minimal supervision.
  • Demonstrated ability to network with faculty and business leaders.
  • Ability to travel internationally if needed (but is not guaranteed).
  • Strong organizational skills with good attention to details, large and small.

Preferred Qualifications

  • Marketing and recruiting experience in a university context.
  • Program development and continuous improvement experience in a university context.
  • Experience with USU policies and procedures as well as software programs used by the MBA and USU: Salesforce, Adobe, ServiceNow, Coursedog, Degree Works, etc.
  • Experience working in an academic environment, understanding academic requirements, etc.
  • Demonstrated skill in organizing resources and establishing priorities.
