  • Overview

    Incumbents in the Staff Assistant II position perform a variety of administrative support, marketing, and/or secretarial duties for the Juab County office of Utah State University Extension.


    1. Receptionist and secretary for office faculty and staff- Agriculture, and Family and Consumer Sciences Faculty, Create Better Health, and 4-H programs.
    2. Assist with reports, data entry, office calendar, computer needs, 4-HOnline, and general office duties.
    3. Assist with Extension correspondence through letters, newsletters, social media content, email, etc.
    4. Design PowerPoint presentations, program flyers, 4-H and other certificates, etc. Proof and design other office documents.
    5. Maintain and update county Extension website, offer new ideas for future development to increase website traffic.
    6. Create, update, and follow social media content calendar to advertise and engage clientele online.
    7. Keep Family and Consumer Sciences, Health and Wellness, Agriculture, Horticulture, and 4-H publications and information up-to-date.
    8. Assist with registration materials for Extension Faculty, 4-H Staff Assistants, leaders, and youth.
    9. Prepare registration material, work with online registration program, label exhibits, and assist as needed with other 4-H fair exhibit information.
    10. Keep 4-H enrollment leader and member information updated.
    11. Prepare and send news columns and news releases to local papers.
    12. Administratively and programmatically responsible to the Juab County Extension County Director, Agriculture, and Family Consumer Sciences Faculty.
    13. Perform office duties, including answering phones, directing calls to appropriate parties, data entry, filing, and other general duties as assigned.
    14. Greet and direct visitors.
    15. Maintain a professional and clean working environment, which is welcoming to clientele and guests.
    16. Work with Staff Assistant III to coordinate any other job duties.
    17. Perform miscellaneous job-related duties as assigned.


    Minimum Qualifications 

    1. Two years of experience in an office setting or an associate degree/technical training is required.
    2. Skilled with computer programs and related software.
    3. Excellent critical thinking skills.
    4. Skilled in creative problem solving.
    5. Skilled with office equipment, including printers, copiers, and telephone systems.
    6. Good organizational skills.
    7. Strong verbal and written communication skills.
    8. Ability to handle sensitive and confidential business data and personal information.
    9. Ability to work without supervision.
    10. Excellent customer service skills.
    11. Knowledge of social media outlets.
    12. Ability to create social media creative content.

    Preferred Qualifications

    1. Proficient in a wide range of computer software necessary to fulfill duties: Microsoft Office, financial software, National 4-H software (4honline), State County Fair software, Extension website creation and maintenance software, University Banner, ServiceNow, EZ-Buy, Digital Measures, and Adobe Suites.
    2. Knowledge of University policies and procedures.
    3. Excellent teamwork and communication skills.

    Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes.  The employee is regularly required to sit and often uses repetitive hand motions.


    Work Environment and Physical Requirements
    1. Employee will work indoors most of the time, but is subject to being outdoors in mild weather.
    2. Employee will be required to use their hands in repetitive motions.
    3. Employee may be required to sit and stand for long periods of time.
    4. Employee may be required to teach with their hands and may lift and/or move up to 50 pounds.
    5. Employee may be required to work some evenings and weekends.
