Overview

The Box Office and Front of House Coordinator will be responsible for the ticket and front of house operations at the Caine College of the Arts. The Coordinator will attend regular meetings, hire and train staff, and manage both inside and third party events in the Caine College of the Arts.

Responsibilities

Ticket Office Coordinator

 

20% of Time

  • Coordinate ticket services for presenters or promoters of events in Caine College of the Arts (CCA) venues, specifically those presented by CCA groups
  • Attend production meetings with the Technical Director, Scheduling Coordinator, and clients as requested to ensure Box Office support necessary for successful CCA events
  • Work with the Scheduling Coordinator to provide accurate Box Office information for estimates and invoices
  • Set up events in Ticket Office Inventory System 
  • Coordinate all CCA ticket sales and promotions
  • Provide ticket sales counts, reports, and ticket sales projections to Caine College of the Arts Production Services (CCAPS)
  • Prepare ticket CCA Box Office deposits and change funds, ensure transactions are reconciled
  • Process all cash, checks and credit card sales according to USU procedures

20% of Time

  • Work with Director of Ticket Operations to formulate and recommend box office policies and procedures
  • Fill role as primary customer service representative during events
  • Oversee computer systems used in the CCA Box Office operation including Ticket Office Inventory System and BOCA Printers.
  • Order ticket stock, envelopes, and office supplies
  • Generate and update mailing lists for CCAPS marketing team
  • Gather and maintain information on all CCA events and provide information to customers to ensure that the maximum information is captured for single ticket sales.
  • Track ticket sales and provide ticket sales projections and provide various performance reports.
  • Compile ticketing reports, compute fees and charges, prepare estimates and invoices for ticketing billing purposes.

Front of House Coordinator

 

20% of Time

  • Manage all aspects of Front of House of the CCA Venues
  • Hire, train, and schedule Front of House staff
  • Ensure all front of house policies and safety guidelines are enforced, and all safety training is up to date
  • Prepare necessary training materials, safety manuals and evacuation plans
  • Regularly evaluate event staffing levels
  • Create an open communication channel with easy ways for team to record important information and pass on
  • Approval of time for hourly Front of House staff
  • Regularly evaluate staff performance

15% of Time

  • Communicate and report biweekly to Event Services Assistant Director
  • When available attend and engage in weekly Event Services staff meetings and Event Services Coordination Meeting
  • Attend production meetings where Front of House and all areas can share information, clarify needs, establish deadlines, and work on creating a schedule with consideration for each department's priorities
  • Review previous events notes and communicate new event notes
  • Compile Front of House data, compute fees and charges, prepare estimates and invoices for front of house billing purposes.
  • Compile event overviews, timesheets, house manager notes, house counts and ticket sales

15% of Time

  • Manage working aspects of the CCA Box Office
  • Provide excellent customer relations to all patrons
  • Hire, train and schedule all CCA Box Office staff
  • Ensure optimal Box Office coverage and ticketed event coverage
  • Approval of time for hourly staff for CCA Box Office
  • Communicate weekly and obtain other duties as assigned by the Director of Ticket Operations

10% of Time

  • Work alongside Production Services to ensure successful shows are produced on time, on budget, and meeting the director and designer's vision.
  • Attend and engage in Production Services staff meetings as needed
  • Develop productive, trusting working relationships with Production Services and wide range of venue users, responding to individual needs in a friendly and efficient manner

Qualifications

Required Qualifications:

  • Four years of related experience; or an associate degree plus 2 years of experience; or a Bachelor's Degree in business or arts-related field
  • Basic accounting skills
  • Experience in supporting theatrical, music or other arts-related events

Preferred Qualifications

  • 2 or more years' experience in box office operations or closely related field
  • Working knowledge of Ticket Office Inventory System 
  • Microsoft Office proficiency
  • Oral, written, and interpersonal communication skill, including the ability to give clear, concise and accurate instruction.
  • Organizational and planning skills
