Overview

This position is housed at the USU Orem Center and reports directly to the Orem Center Program Coordinator.

HOURS: 8:00 AM – 5:00 PM (1-hour lunch)

 

Reception Percent of Time 50%

Supervise the activities of the front desk of the USU Orem Center ensuring we provide excellent customer service. Act as main contact person for individuals coming into or calling the Orem Center. Provide prompt and accurate information for student related questions including general registration, financial aid, and admissions questions. Assess the needs of the visitor and direct them to the correct person/location. Make meeting appointments for advisor.

 

Testing Center/Cashiering Percent of Time 30%

Assist in managing testing center as needed. Proctor student exams in a secure and professional manner while maintaining student confidentiality, security of materials, and exams. Collect and secure exam fees when appropriate. Comply with FERPA privacy laws and USU cash handling policies.

 

Administrative Assistant Percent of Time 10%

Assist Program Coordinator with their calendar. Schedule appointments, arrange meetings, and post meetings. Prepare materials for meetings including distribution of materials. Organize materials and files both electronically and physically.

 

Facilitation Percent of Time 10%

Assist in scheduling meetings and classes. Open rooms and set up for IVC and face-to-face meetings/classes. Provide support as needed for classroom technology, originations, and facilitation of classes.

Responsibilities

  • Center support responsibilities include mailing, printing, tracking shared calendar, office signage, USU vehicle, and other duties as assigned.
  • Maintain adequate inventory of brochures and materials in common areas. Monitor common areas for cleanliness.
  • Inventory, organize, and maintain office supplies. Make orders and purchases for USU Orem Center. Keep a record of all purchases in a specific office supply folder. Obtain appropriate approval prior to making purchases.
  • Provide administrative support as requested by management in the maintenance of records, both paper and electronic, for effective filing and document retention. Provide other office services as need and requested by management.
  • Manage USU Orem Canvas page, Facebook page, and signage in the center by posting key events and information.
  • Adjust Orem Center calendar to accurately reflect changes and notify those affected. Monitor calendar for upcoming events and plan accordingly. Continually use calendar to be able to direct and connect people to faculty, staff, and students.
  • Other duties as assigned.

Qualifications

Minimum Qualifications

  • Two years of experience in an office setting or an associate degree/vocational training is required.
  • Outstanding customer service skills.
  • Strong desire to learn and grow within role.
  • Excellent computer skills ie: Word, Excel, Outlook, and Internet.
  • Exceptional ability to identify problems and take initiative to resolve.
  • Strong team player who works effectively with others to accomplish tasks.
  • Excellent organization skills with the ability to manage multiple tasks simultaneously and pay attention to detail.

Preferred Qualifications

  • Associate's degree or equivalent college credit.
  • Reception, phone, and administrative assistant skills.
  • Knowledge of USU programs and Interactive Video Conferencing technology.

Knowledge, Skills, and Abilities

  • Skilled with computers and related software.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.
