The Academic Advising Assistant reports directly to the Academic Advisor Supervisor at USU Eastern. The Academic Advising Assistant will assist with the coordination and preparation of the advising communication plan, serve as DSO and Immigration Advisor for USU Eastern, and be available for international student appointments.


Coordinate regularly with the Office of Global Engagement

  • Attend required International Advisor meetings
  • Chair International Service Team at USU Eastern and coordinate services for international students
  • Assist in maintaining and monitoring International Student Fee budget
  • Update USU Eastern Global Engagement website
  • Send and edit all Advising Office planned emails and group nudges to students and update existing communication plan
  • Update faculty office hours on advising website each semester
  • Update Welcome Packets, Leave of Absence, and Leave of Absence Return packets
  • Collect workshop flyers each semester
  • Update and distribute resource sheet each semester
  • Update and distribute Bachelor information sheet each semester
  • Assist Academic Advisors with Hallway advising
  • Assist with advising associate degree seeking students during walk-in periods
  • Update academic advisor assignments in Banner weekly with major updates monthly
  • Mail physical copy of the advising syllabus weekly to new admits
  • Email new admits – Advising Outreach in bulk email
  • Update AIP & GPA surveys in Qualtrics
  • Run reports from Argos and Civitas – Advising profiling and Admissions reports
  • Run reports from Appointment Manager and coordinate math placement outreach
  • Manage advising office social media
  • Responsible for online chat responses on academic advising page
  • Assist the advising office with other duties as needed


Minimum Qualifications:

  • Bachelor's degree from an accredited university
  • Excellent written and verbal communication skills
  • Working knowledge of basic office equipment and software, specifically Microsoft Word & Excel
  • Strong organizational skills
  • Attention to detail
  • Cultural sensitivity and an ability to build rapport with a diverse workforce in multicultural settings
  • Self-starter who takes initiative with minimal supervision
  • Willingness to learn new skills and techniques

Preferred Work Experiences and Requirements:

  • 2+ years of customer service experiences
  • Knowledge of student development theories
  • Experience using Banner, Civitas, and Zoom
  • Broad knowledge of USU's academic programs, general education requirements, graduation requirements, and student services
