Overview

The Business Assistant I or II will work in the College of Science Business Services Team/Mathematics and Statistics. The successful applicant will work closely with the Department of Mathematics and Statistics Head, Business Manager, faculty, staff, the College of Science Financial Officer, and Business Services team to provide accurate and timely financial reporting and transactions.

Responsibilities

  • Submit EPAF requests through ServiceNow for all student employees and temporary lecturers.
  • Aggietime Manager.
  • Manage ServiceNow travel submissions.
    • Serve as liaison with faculty, staff, and students for travel submission.
  • Perform functions such as EPAF creation, travel management, Pcard reconciliation, EZ-Buy reimbursement.
  • Order office supplies for the department using EZ-Buy.
    • Keep office supply cabinet and workroom always stocked.
    • Keep cost to the department as low as possible.
  • Complete I9's for all new employees, and stay current with policies and procedures.
  • Department administration assistance.
  • Front desk reception for departmental visitors and walk-in students.
  • Process copy requests as well as maintain copier, printer, shredder, and schedule office equipment service calls as needed.
  • Compile the list of annual department awards for students and faculty.
    • Creates award certificates for the annual awards ceremony and purchase award gifts.
  • IDEA survey on-line evaluation system administrator.
  • Work with central scheduling to ensure classrooms for common departmental finals each semester, and coordinates proctors for test as needed or requested.
  • Assist with common finals as needed, and work with course supervisors to ensure the security, copying, and distribution of exams.
  • Coordinate weekly department seminar programs, including travel arrangements, maintain online schedule, refreshments, and set up.
  • AwardSpring Scholarship Administrator.
  • Attend AwardSpring administrator meetings held by the Scholarship office.
  • Answer student inquiries about our department's scholarships giving details on when, what, and how to apply for our departmental scholarships.
  • Complete Scholarship details in AwardSpring.
    • Help provide committee members with the information needed to award scholarships.
  • Collect donor thank you letters from AwardSpring and mail to donors.
  • Enter Scholarship awards into Service Now.
  • Verify that awardees follow individual scholarship criteria each semester via student transcripts.
    • Verify registration records prior to the awards for students are processed so that departmental scholarship criteria are met.
    • Communicates with scholarship recipients when issues with scholarship requirements arise.
  • Participate fully in team meetings and training at the college and university level.
  • Be a part of the solution when changes are initiated or required.
  • Performs miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualifications:

 

Minimum Qualification for Business Assistant I - Two years of related work experience; or an associate degree/technical training in a related field is required.


Minimum Qualification for Business Assistant II - Four years of related work experience; or an associate degree/technical training plus two years of related work experience; or a bachelor’s degree in a business field is required.

  • Competent in the use of computer programs including Microsoft Office and other applications.
  • Friendly and service-oriented attitude with excellent customer service skills.
  • Highly professional while working productively and independently on progressively more complex projects/assignments.
  • Ability to work independently, anticipate needs, and voluntarily take appropriate action.
  • Detail-oriented.
  • Strong work ethic; commits to integrity and performs duties with diligence.
  • Ability to maintain confidentiality.

Preferred Qualifications:

  • USU experience.
  • Familiarity with USU travel, purchasing, p-card, and HR policies and procedures.
  • Experience with Banner and USU forms.
