As part of the Academic and Instructional Services team (AIS) the Coordinator III will work with the scheduling of Interactive Video Conferencing events (IVC), coordinates room scheduling for IVC events and data entry of academic course details into the Cisco Telepresence Management Suite (TMS). Statewide IVC Scheduling:

  • Coordinate room assignments statewide.
  • Schedule all higher education Interactive Video Conferences (IVCs), including academic courses, academic meetings & meetings from outside USU. 
  • Maintain changes and updates to academic courses and meetings.
  • Contact facilitators to have them report finals information, which then create/compile the IVC academic finals schedule.
  • Arrange IVC connections and testing with locations outside of USU's Network.
  • Coordinate with Classroom Teams and CIDI on adding Zoom links to IVC courses.
  • One-time/Last Minute IVC Coordinating. 
  • Assist with academic course changes/cancellations by notifying scheduling and facilitating staff members after confirming changes/cancellations with instructors. 
  • Respond to requests from instructors who would like to temporarily change the site from which they originate.
  • Add recorders to those academic courses or meetings that involve students/attendees who are not able to attend due to weather or other complications.
  • Assign or send recordings to instructors or meeting organizers.

Coordination with UEN:

  • Work with UEN through Jira as they respond to calls from those in need of support for academic courses.
  • Take calls to help with live IVCs by making last minute changes. 
  • Test guest link connections via Cisco Meeting Application (CMA) to ensure guest speakers and out of state meeting attendees are able to be seen and heard via lVC.
  • Communicate with the UEN technical support team to respond to any technical problems.
  • Resolve technical and scheduling problems.

Other Office Duties:

  • Provide office support by answering phone calls, replying to emails, and checking WebEx Teams/Slack notifications.
  • Answer basic questions about Zoom.
  • Offer excellent customer service to students, faculty, and staff as needed.
  • Assist other staff members inside and outside immediate team.
  • Generate reports.
  • Process academic schedules in Banner/CAS as needed.
  • Schedule facilitators and technicians for academic meetings which need additional technical help.


Minimum Qualifications:

  • Four years of experience; or an associate degree plus two years of experience; or a bachelor’s degree is required.
  • Demonstrated strong written, oral, and interpersonal communication skills.
  • Demonstrated excellent computer skills and adaptability to new technologies.
  • Proficient in Microsoft Office programs.
  • Excellent organizational skills, attention to detail, and ability to prioritize task.
  • Demonstrated strong work ethic.
  • Demonstrated customer service experience.
  • Ability to interpret and apply various guidelines, policies, and procedures.

Preferred Qualifications:

  • Experience using the Banner student information system.
  • Experience with interactive video conferencing systems.
  • Experience with web conferencing systems.
