Overview

This position provides clerical and program support to the Department of Nursing as well as oversees the USU Moab testing center. Nursing duties include the support of instructors, students, applicants to the nursing program, and administrative and essential functions. Testing duties include the scheduling and proctoring of exams, providing support to instructors, and coordinating with the Director of Students to schedule proctors. The successful candidate will work directly with both the Nursing Coordinator and the Director of Students at the USU Moab campus to support a culture focused on student success.

Responsibilities

Nursing Staff Assistant Responsibilities - 50% time

Work closely with the Moab Nursing Coordinator to support faculty and students in the nursing program in Moab. 

  1. Program Support
    • Remain compliant with required policies and procedures for USU.
    • Be familiar with relevant contacts and procedures in the Department of Nursing, Technical Education and Health Professions, Business Office, Purchasing Office, Travel Office, and Asset Management.
    • Attend monthly Nursing Faculty Organization meetings and annual Nursing Faculty Retreat to remain up to date about program processes and needs.
  2. Teaching Support
    • Collaborate with clinical locations and to build and maintain schedules.
    • Work closely with nursing faculty to facilitate updates to the learning management system Canvas, order supplies, set up skills labs and support simulation exercises and other tasks as needed.
  3. Student Support 
    • Organize student events including summer orientation and pinning ceremonies.
    • Facilitate recruitment, persistence, and completion of Moab nursing students by answering candidate questions, directing them throughout the application process, and creating and maintaining prospective and current student records.

Moab Testing Services Coordinator - 50% time

Work closely with the Director of Students to manage the USU Moab testing center, and aid student and public testers in navigating the testing system.

  1. Customer Service for Students and Visitors
    • Welcome and screen visitors at the front desk.
    • Respond to telephone and email inquiries.
    • Be familiar with campus settings to connect inquiries with the appropriate resources.
  2. Testing Center Management
    • Follow established procedures for providing testing services for USU and non-USU exams.
    • Ensure that exams are scheduled, and exam materials are posted on the Materials and Testing Services (MATS) website as needed.
    • Coordinate with Director of Students to schedule protector hours, train proctors to administer exams, and work through exam proctoring issues including e-mails, staff meetings, and other miscellaneous management duties.
    • Promote a student-centered culture to promote student success.
    • Ensure that the testing center is clean and tidy, all supplies are well-stocked, and the testing center signage is accurate and up to date.
    • Maintain secure testing records for non-USU exams.
    • Leverage technical support resources to ensure computers are running and ready for testing including managing the screen monitoring software and/or involving the IT team when necessary.
  3. Proctor Certification
    • Obtain certification to proctor NCS Pearson, ATI, HESI, GED and various other exams offered at USU in Moab and at the Grand County Jail.
    • Coordinate the certification process for other USU Moab facilitators to become proctors.
  4. Tester Support
    • Answers phone calls and respond to voicemails and emails about examinations.
    • Help students select the appropriate proctor.
    • Coordinate all make up exams for students unable to go to a USU campus.
  5. Instructor Support
    • Support faculty with their examinations by responding to inquiries about testing practices, policies and procedures and use of the MATS system, by returning all completed exams, and by providing a detailed report of all suspicious behavior and/or cheating.
  6. Troubleshooting
    • Be familiar with technical support and testing center resources to address various problems as they arise.
    • Support USU Moab proctors, facilitators, faculty, other staff, and students when there is a problem with a test including addressing technical problems and reaching out to and working with other institutions for non-USU exams.
  7. Support for USU Statewide Testing
    • Attend monthly testing center meetings and communicate with testing center coordinators at other USU campuses as needed.

Qualifications

Minimum Qualifications

  • Four years of experience; or an associate degree/technical training plus two years of experience; or a bachelor’s degree is required.
  • Experience creating, composing, and editing written and electronic material with attention to detail
  • Ability to multi-task and efficiently manage multiple inquires via phone, email, online chat, and in-person
  • Ability to maintain a professional manner while providing a friendly office atmosphere for students, faculty, and administrators in a high stress environment, with excellent conflict resolution skills
  • Ability to work independently
  • Proficient in MS Office suite (Word, Excel, Outlook, and PowerPoint)

Preferred Qualifications

  • Knowledge and experience of university policy and procedures
  • Experience with university systems (e.g. Banner, Canvas)
  • Experience with troubleshooting technology (e.g. computer hardware, software)
  • Simulation experience
