Overview

Under the general direction of the Utah State University Eastern (USU Eastern) GEAR UP Director, provides administrative support and secretarial duties for the USU Eastern GEAR UP (GU) program. Performs moderately complex and confidential administrative work such as entering student data, maintaining records, scheduling appointments, composing routine correspondence, and obtaining/providing factual information requiring knowledge of policies and procedures of both assigned and work-related areas. Attends staff meetings and annual training. Annual travel opportunities to a statewide, regional and/or national GEAR UP conference for professional development purposes may occur, if funding is available. Occasional evening and weekend work may be required to document special events; such as National GEAR UP Week, National Senior College Signing Day, USU Eastern Leadership Summit, commencements, or professional development opportunities.

 

Gaining Early Awareness and Readiness for Undergraduate Programs (GEAR UP) is a federally-funded grant program whose goal is to increase college awareness for underrepresented students and their families/guardians, and to help students develop the skills and preparation necessary to pursue education after high school.

 

Hiring is contingent on completion of a successful background check. This position falls under USU's Title IX "Responsible Employee" designation and is required to report any disclosures of sexual harassment or sexual violence to the USU Title IX Coordinator and/or appropriate school district/school authority. Furthermore, Utah law requires any public or private citizen to report child abuse or neglect to the nearest peace office, law enforcement agency, or office of the Division of Child and Family Services (DCFS).

Responsibilities

  • Assists Director with entering and tracking GEAR UP student, family/guardian, and activity data into the GU Compass database.
  • Retrieves GU student grades, attendance, and honors distinctions from school district Student Information Systems, USU Eastern Banner system, and/or school Registrars, GU Advisor and GU Director on a quarterly or semester basis.
  • Develops and maintains record-keeping systems, spreadsheets, and databases to track information.
  • Conducts annual and grant-end audits of student, family/guardian and activity data and files.
  • Conducts research, compiles data, and prepares papers for consideration and presentation by GU Director or staff.
  • Monitors project status to verify correctness and completion.
  • Maintains and updates electronic records in Box and physical records in a secured area.
  • Generates necessary reports documenting, monitoring progress towards GEAR UP goals, and tracking for ensuring all aspects of function/program are implemented and controlled according to plans.
  • Completes regular data integrity and quality audits.
  • Performs office duties, including answering phones, directing calls to appropriate parties, filing, appointment scheduling, and other general duties as assigned.

Qualifications

Minimum Qualifications:

  • Knowledge of recordkeeping, filing, auditing, and data storage systems
  • Knowledge of office management practices and procedures
  • Excellent organizational and time management skills
  • Excellent critical thinking, decision-making and problem-solving skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Outlook email, Google Calendar Adobe Acrobat, Mac and/or PC platform
  • Knowledge and skills with basic office equipment, including printers, copiers, scanners, projectors, teleconferencing, and telephone systems
  • Excellent numeracy skills and attention to detail
  • Strong verbal and written communication skills
  • Excellent intercultural communication skills for working with diverse groups of people
  • Ability to handle sensitive and confidential information
  • Ability to follow institutional policies, regulations, and procedures
  • Ability to work independently
  • High school diploma/GED or aptitude is required
  • Current driver’s license is required to preform essential job functions

Preferred Qualifications:

  • Current or previous experience with a GEAR UP program
  • Current or previous fiscal experience in a higher education institution
  • Knowledge of FERPA confidentiality requirements
  • Knowledge of Banner, ARGOS (Evisions), EZ-Buy, ServiceNow, and purchasing card policies and practices
  • Fluency in Spanish conversation, reading, and writing
  • Graduation from an accredited institution with an associate’s degree plus one year experience related to the summary of duties or any combination of education and experience totaling 3 year(s)
