The Student Involement & Leadership office has an opening for a Staff Assistant II position to support their staff assuring the daily operations of the office run effectively and help other staff members to adequately fill their roles. This position will also provide administrative support to staff members, answering call, emails and student inquiries, scheduling appointments and serving as the liaison with Business Services.


  • Performs office duties, including answering phones, answering emails, directing calls to appropriate parties, data entry, filing, appointment scheduling, coordinating meetings/conferences, maintaining/ordering office supplies and greeting students, faculty and visitors.
  • Assist students with appointments for legal services, scheduling use of the design room, and other events as needed.
  • Assist students in carrying out the duties and responsibilities of their individual USUSA offices and programs.
  • Assist staff with day to day operations.
  • Assist staff in preparing correspondence, documents and assessment
  • Coordinate Executive Director calendar and help maintain appointments
  • Oversee the coordination of staff social functions
  • Maintain an inventory equipment and space for the Student Involvement & Leadership Center
  • Assist in compiling USUSA binders, and Fee Board binders
  • Track RSVPs for various events
  • Assist with planning and coordination of Student Orientation, open houses, Fall Leadership Conference, USUSA Awards Banquet, outgoing officer banquet, inaugural reception, Weeks of Welcome, Homecoming Week, Robins Awards and other Student Involvement & Leadership events.
  • Assist in training student leaders in office policies and procedures.
  • Assist with travel arrangements for staff and student officers
  • Assist with maintaining and updating the office calendar
  • Prepare requisitions, check requests, deposits, and cash reimbursements
  • Prepare travel authorizations, travel reimbursements, travel logs, and assist with compliance of travel policies and procedures
  • Assist with tracking of P-card transactions.
  • Assist department with compliance of all Utah State University purchasing policies and procedures.
  • Assist Business Services with the reconciliation of budgets and p-cards
  • Prepare reports and maintain data regarding USUSA Student Government, Spirit Squad, Fraternity & Sorority Life, and Student Media.
  • Assist maintaining a database of staff certificates and trainings.
  • Assist maintaining a database of student certificates, trainings and USUSA officer Canvas course
  • Collect and scan in all office receipts
  • Take minutes at all staff meetings.
  • Sorts, screens, and distributes incoming and outgoing mail.
  • Composes and word-processes various standard documents, correspondence and reports.
  • May update website content.
  • Provide additional support for departmental programs and projects.
  • Perform miscellaneous job-related duties as assigned.


Minimum Qualification: 

  • Two years of experience in an office setting or an associate degree/vocational training is required or equivalent combination of education and experience. 

Knowledge, Skills, and Abilities

  1. Skilled with computers and related software.
  2. Skilled with basic office equipment, including printers, copiers, and telephone systems.
  3. Good organizational skills.
  4. Strong verbal and written communication skills.
  5. Ability to handle sensitive and confidential business data and personal information.
  6. Ability to work without supervision.
  7. Knowledge of University policies and procedures.
  8. Excellent customer service skills.

Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes.  The employee is regularly required to sit and often uses repetitive hand motions.
