This position requires the performance of a wide range of administrative support duties at the Swaner Preserve and EcoCenter that relate to the operation of the center and its environmental education and conservation programs. Some of the responsibilities will be routine, although the qualified applicant will be able to handle out-of-the-ordinary projects and problems as they arise. Hours will be regular business hours. Some evening/weekend work will be necessary. This is a full time benefited position.


The Staff Assistant must be highly organized, personable, flexible, and team-oriented. They should have excellent communication skills, both written and oral.


Major Areas of Responsibility:

  • Facilities and office management
  • Marketing, both print and digital
  • Accounting support including accounts payable and receivable
  • Administrative support of Director
  • Manage part time assistant

Specific Responsibilities Include:

  • Support Executive Director with administrative needs and special projects.
  • Complete standard office duties including phone reception; sorting and distributing incoming and outgoing mail; processing forms; maintaining files, equipment, databases, and records.
  • Respond to requests, office visits, telephone calls, emails and correspondence promptly and professionally.
  • Assist with accounting work including processing accounts payable and receivable, compiling monthly transaction reports, setting up yearly purchase orders, weekly bank deposits, and submitting purchase orders.
  • Manage facility maintenance and repair including scheduled system maintenance, troubleshooting as issues arise, maintaining EcoCenter equipment, managing Demonstration garden infrastructure such as irrigation, maintaining the Swaner vehicles.
  • Oversee hourly administrative support staff.
  • Carry out marketing and outreach efforts including placing ads, creating flyers, online posting to local media outlets, and creation of monthly e-newsletter.
  • Manage the Swaner webcam, tracking interesting sightings or wildlife, and creating content to share on digital platforms.
  • Maintain website and calendar.
    • Manage sales of and logistics for private rentals of EcoCenter facility.
    • Assist with fundraising and development through membership and donation processing, assistance with event planning, and donor communication.
  • Resolve or refer a range of complex administrative inquiries and problems.
  • Process I9’s and building access for new employees.


Minimum Qualifications Staff Assistant II:

  • Two years of experience in an office setting or an associate degree/vocational training is required.

  • Must be a team player who enjoys working closely with coworkers, visitors, volunteers, and others.

  • Must display exceptional human relation skills and be able to pleasantly interact with a wide variety of individuals.

  • Willing and eager to learn new things.

  • Self-motivated individual with the ability to work independently.

  • Professional work manner.

  • Strong oral and written communication skills.

  • Strong organizational skills.

  • Consistent attention to detail.

  • Excellent computer skills and a proficient knowledge of a variety of Microsoft programs.

  • Occasional flexibility in work schedule required for evening and weekend events.

Additional Minimum Qualifications for Staff Assistant III:

  • Four years directly related office support work experience with increasing responsibilities OR an Associate’s degree or certification(s) in a designated field plus two years of directly related office support work experience with increasing responsibilities OR a Bachelor's degree.

Preferred Qualifications:

  • Proficiency in Spanish.
  • Marketing experience, including social media management and connecting with media sources.
  • Experience with design software (web and print) including Adobe programs.
  • A strong eye for aesthetic work.
  • Experience with website maintenance.
  • Experience with facilities management and contractor management.
