Overview

This position is located in Price, Utah and will work at the USU Eastern campus. The Assistant Coordinator serves as the liaison between administration, faculty, students and community members, and Event Services. This position plays a key role to work with patrons to plan and coordinate the details, logistics, catering, etc. of events being scheduled on campus. They provide support and assistance to the Event Services Coordinator and staff to ensure scheduled events meet the standards of quality and service set forth by Event Services at USU Eastern.

Responsibilities

  • Serves as the liaison between Event Services and administration, faculty, and staff for internal events.
  • Oversees and assists with the day-to-day operations of events.
  • Utilizes appropriate software to schedule and capture event details.
  • Provides hands-on support and assistance for assigned events.
  • Provides support to Event Services Coordinator and staff.
  • Performs office management duties and record keeping, including scheduling, filing, preparing paperwork, ordering supplies, and/or managing inventories.
  • Represents the department/program in a positive manner with students, staff, faculty, and the community.
  • Seeks ways to improve efficiency of services and develops processes to streamline procedures.
  • Advises internal event patrons about program specific requirements, regulations, services, etc.
  • Coordinates program/department activities including, conferences and events.
  • Coordinates catering requests with Dining Services.
  • Coordinates set-up and clean-up of assigned events.
  • Guides student and/or part-time employees with event procedures.
  • Provides consultation and expertise to students, faculty, and/or staff in the use of specialized services and equipment.
  • Prepares invoices for events and coordinates billing/collections with Administrative Assistant.
  • Performs miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualifications:

  • Ability to make routine decisions.
  • Skilled in creative problem solving.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Ability to coordinate and organize meetings and/or special events.
  • Maintain accurate records and details about scheduled events.
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Scheduling and strong organizational skills.
  • Basic computer skills.
  • Ability to create, compose, and edit written materials.
  • Knowledge of communication principles, media, and marketing techniques.
  • Ability to handle sensitive and confidential business data and personal information.
  • Knowledge of University policies and procedures.
  • Ability to take initiative and work without close supervision.

Preferred Qualifications:

  • Experience, knowledge, skills, and abilities in event planning and coordination.
  • Aptitude is required. Preference given to applicants with previous event planning and coordination experience and/or Audio/Visual presentation experience.

This position requires moderate physical effort.  Employees must have sufficient strength to perform the duties and responsibilities of the position, including lifting up to 25 pounds, walking and standing.  Employees must adhere to safety precautions and may be required to use protective equipment.
