Overview

Utah State University Institute for Disabilities Research, Policy & Practice (IDRPP) is seeking a Program Assistant II to join the Technical Assistance for Excellence in Special Education (TAESE) program. The Program Assistant will assist with conference and event coordination and implementation, and design and produce graphics for conferences, events, and professional development activities.

Responsibilities

  • Assist with conference and event coordination and implementation (50%)
    • Under the direction of the lead TAESE Event Coordinator, assist with the coordination, planning, and implementation of TAESE conferences and other events.
    • Provide remote meeting support by setting up virtual meeting software (i.e. Zoom, Teams, etc.) and assisting TAESE professional staff by performing “remote host duties” such as monitoring the chat box, assisting meeting participants with accessing materials, resolving audio/visual problems, etc.
    • Negotiate and establish venue contracts for events, as needed.
    • Travel to conference locations and manage onsite conference details, as needed.
    • Coordinate conference and event evaluations, including the preparation of after event evaluation reports to be sent to clients.
    • Build comprehensive event websites to client specifications, including the implementation of appropriate branding as identified by the client. Websites include general information concerning the event, multi-step registration processes, and detailed fee/contract structures.
    • Maintain and update event websites with accurate, up-to-date information.
    • Manage participant email communications (invitations, confirmations).
    • Create, disseminate, and summarize post-event evaluations.
    • Record virtual conferences and events as requested by TAESE clients.
    • Ensure that all recorded events are appropriately captioned to meet accessibility standards.
    • Participate in on-going training to stay current on the constantly evolving features of software.
    • Provide technical support/troubleshooting for the software.
    • Promote TAESE projects and activities to potential clients.
  • Design and produce graphics for conferences, events, and professional development activities (50%)
    • Work with various TAESE Project Directors to strategically plan and produce meeting specific graphics.
    • Design graphics as needed for TAESE projects and conferences.
    • Organize graphics to meet all University, State contract, and Federal requirements.
    • Compile and request bids from printing companies for outside printing jobs, then negotiate and work with them to produce finished products.
    • Ensure that all production work meets deadlines and work is prioritized appropriately.
    • Assist with graphics for and design of the TAESE website and project websites.
    • Assume quality control responsibilities for documents, packets, and printed materials disseminated from TAESE with a focus on the oversight of formatting and design work produced by support staff.
    • Continually upgrade skills and keep abreast of new techniques in design.
    • Provide office leadership and support in regards to TAESE branding

Qualifications

Minimum Qualifications:

  • Two years of experience or an associate degree/technical training.

Preferred qualifications:

  • Two years of experience with event coordination and graphics editing.
  • Bachelor’s degree in a related field.

Funding Statement


The Institute for Disability Research, Policy, & Practice is one of the largest research and outreach centers at USU, and we are largely funded through grants, contracts, and fee-for-service programs. All staff positions at the IDRPP are contingent upon funding, and all senior staff at the IDRPP with graduate degrees are responsible for helping to generate funding to support our operations and growth.
