Overview

USU Extension in San Juan County is seeking a creative and positive person to work as a staff assistant to the San Juan County Extension office and faculty. Hours will be Monday-Friday 9am to 5pm at the USU Extension Office located in the San Juan County Courthouse in Monticello, UT. This is a 35 hour per week, benefited position. Applicants should be able to work well independently and in a team. Some evening and weekend work may be necessary.

Responsibilities

  • Assume standard office duties, including word processing, copying, faxing, scanning, editing, mailing, phone reception, email, taking meeting minutes, and spreadsheets.
  • Sorts, screens, and distributes incoming and outgoing mail.
  • Assist USU Extension faculty and staff in the organization of programs.
  • Develop and disseminate advertising materials to support community outreach programming including posting website updates, development of PowerPoint presentations, and other educational materials such as flyers, brochures, banners, and postcards.
  • Work cooperatively with USU Extension faculty and staff on programming needs.
  • Assist with reports and paperwork by maintaining and organizing budgets, travel paperwork, timecards, purchasing and other required reporting and program evaluations.
  • Handle communication with participants of Extension programming through mail, flyers, advertisements, letter, email, phone calls and website. Maintain class registration through phone and website; create, organize and maintain class rosters.
  • Assist county director as needed.
  • Assist with customer service duties such as directing visitors, phone reception, taking payments and other duties as needed.
  • Responsible for proper cash handling, ensuring deposits into proper checking accounts within a timely manner, and managing payments/reimbursements and related expenses.
  • Organize and store receipts and other documents per policy guidelines.
  • Maintain budget spreadsheets and reconcile monthly University reports.
  • Compiles information about upcoming programs for all programs within the office for marketing purposes and distributes this information to the public though updates on county social media platforms, websites, and collaboration with county marketing resources.
  • Other duties as assigned.

Qualifications

Minimum Qualifications:

  • High school diploma/GED or aptitude is required.
  • Access to reliable transportation to complete department errands. Mileage will be reimbursed for any significant use of personal vehicle.
  • Job offer contingent on successful completion of a Background Check.

Preferred Qualifications:

  • Two years of office related experience, higher education, or equivalent.
  • Motivated individual with a creative thought process.
  • Strong attention to detail and good eye for aesthetic work.
  • Strong editing skills.
  • Excellent budget tracking skills.
  • Knowledge of cooperative extension services.

Knowledge, Skills, & Abilities:

  • Proficiency in Word, Excel, PowerPoint, Publisher, Google Sheets and Docs, website management, social media for business purposes, and related programs.
  • Ability to multitask and set priorities; ability to follow written and verbal instructions.
  • Ability to establish and maintain effective working relationships and communications, including in stressful situations, with supervisors, clientele, co-workers, volunteers, and professionals in other departments.
  • Demonstrate effective written and oral communication skills with great attention to detail.
  • Demonstrate strong organizational skills and ability to pay attention to detail.
  • Skills in using social media, including, but not limited to Facebook, Twitter, Instagram, and Pinterest.
