Overview

The Emma Eccles Jones College of Education and Human Services is seeking a Business Assistant III to join a dynamic business services team supporting the School of Teacher Education and Leadership in the areas of contracts/grants and program support. Responsibilities

Student Experience/Course Fee Support

Liaison with Office of Field Experience and partner departments to support the student experiences:

  1. Develops and processes semester student teacher supervisory payments.   
  2. Develops and processes semester mentor payments.
  3. Oversees and tracks travel to support student teacher supervision.
  4. Coordinates student teacher expenses with partner departments.
  5. Reconciles course fee and differential tuition indexes. Reviews all transactions and generates timely adjusting entries as needed.

Grant/Contract Support

Responsible for the support of department contracts/grant awards.

  1. Gathers monthly transaction documents and reconciles with monthly Argos reports in a timely and organized fashion.
  2. Assists business manager in administering proposals to ensure compliance with all federal, state and University policies.
  3. Tracks awards through the entire grant period from award to final report, including all match accounts/indexes.
  4. Develops and maintains databases as needed for accurate reporting, including projections.
  5. Develops custom reporting.
  6. Monthly reconciliation and allocation of indirect costs.

Other Financial Support

Responsible for providing other support as designated by the business manager:

  1. Provides support to the Business Manager on monthly reconciliation of designated indexes.
  2. Maintains and destroys documents in accordance with retention guidelines.
  3. Works collectively with department personnel to provide office coverage.
  4. Works with inventory personnel to enter and maintain accurate inventory records in AssetView.
  5. Enters journal entries and/or labor redistributions as needed.
  6. Acts as backup to other department business assistants.
  7. Performs other duties as assigned.

Qualifications

Minimum Qualifications:

  • Six years of related work experience; or an associate degree/technical training plus four years of related work experience; or a bachelor’s degree in a business field plus two years of related work experience is required.
  • Competent in the use of computer programs, including Excel, Office and other applications. Proven ability to create formulas and spreadsheets in Excel.
  • Strong interpersonal skills along with a demonstrated ability to work collaboratively with a diverse group of people.  Able to develop professional documents and accurate reports.
  • Able to create a team-based environment within the program, department, and college.
  • Experienced in managing multiple responsibilities and deadlines.  Able to organize work responsibilities and self-assess personal performance against target objectives.
  • Proactive in resolving issues, setting up processes, and providing high-level customer service.
  • Meet background check requirements.

Preferred Qualifications:

  • Experience in contract/grants/research administration.
  • Experience in payroll processing at USU through AggieTime/Banner.
  • Experience in MyTime setting up schedules and/or leave manager.
  • Experience in ServiceNow Pcard system as receipt attacher or cardholder.
  • Experience working in an academic department.
  • Working knowledge of USU’s purchasing and operational policies
  • Keyboarding and ten-key skills to support accurate and timely data entry.

Knowledge, Skills, and Abilities:

  • Knowledge of purchasing and accounts payable procedures, including those that relate to a public institution.
  • Knowledge of accounts reconciliation and ability to reconcile indexes.
  • Skilled with computer programs, including Excel and Windows.
  • Skilled with basic office equipment, including printers, copiers, fax/scanners and telephone systems.
  • Good organizational skills.
  • Skilled in budget preparation and fiscal management.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to take initiative, maintain confidentiality and work without close supervision.
  • Excellent customer service.
