The Staff Assistant II will be responsible for providing the first impression of USU to prospective students and their parents. The successful applicant must be friendly and enjoy working with students, detail-oriented, self-motivated, organized, and able to work in a fast-paced office as a selfless team member.


  • Oversee front desk: answer phones, help walk-ins, answer emails, general customer service, assist Admissions Officers, fulfill information requests, etc.
  • Manage student employees assigned to front desk (including hiring, training, scheduling, and disciplining)
  • General office assisting and scheduling for director
  • Daily deposits of application fees and refunds
  • Collect, scan, and manage office receipts
  • Track donations made to certain endowments and write thank you notes for those donations
  • Weekly meetings with the Admissions Officers and the Associate Director of Admissions to keep on top of changes to Admissions policy and to get feedback on how the student employees are doing
  • Track and order supplies
  • Maintenance of office equipment
  • Excuse letters for Ambassadors- emails, printed letters, campus tour excuses
  • Monitor meeting schedules of staff members
  • May also help with Admissions Officer duties on an as-needed basis


Minimum Qualifications:

  • Two years of office-related work experience or an Associate's degree or related certification
  • Accurate keyboarding and data entry skills
  • Computer skills including but not limited to: Windows, Word processing and Excel
  • Must have a positive attitude, excellent clerical skills, a strong work ethic, and interpersonal skills
  • Must have the ability to work under pressure in a fast-paced office environment as well as excellent problem solving and organizational skills

Preferred Qualifications:

  • Five years-related office support work OR an Associate's degree plus three years office support work OR a Bachelor's degree plus two year office support work experience
  • INB Banner experience
  • Experience supervising students
  • Bilingual
  • Familiarity with USU policies and procedures

Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes.  The employee is regularly required to sit and often uses repetitive hand motions.
