Overview

USU Extension in Grand County is seeking a creative and positive person to work as a program and staff assistant to Extension faculty. Hours will be Monday-Friday 8 am to 5 pm in the USU Extension office in Grand County. This is a full-time benefited position. Applicants should be able to work well independently and in a team. Some evening and weekend work may be necessary.  “This position is administratively responsible to the Grand County Extension Director.

Responsibilities

  • Assist USU Extension faculty in the development of programs, with emphasis on the 4-H program, through clubs and activities, providing youth with positive life skills. 
  • Recruit volunteer leaders and assist in training, supervising and mentoring volunteers, Provide the public with 4-H enrollment and educational information. 
  • Develop materials to promote supported community out-reach programming including assisting in the development of PowerPoint presentations and other educational materials, mailings, flyers, brochures, banners, and postcards.
  • Responsibilities include keeping websites and other social media up-to-date and accurate as well as advertising classes and programs
  • Work cooperatively with USU Extension faculty and other USU staff on a variety of programming needs as assigned by the Grand County Extension Director.
  • Have basic knowledge of, or desire to learn about family and consumer sciences and horticulture and natural resources.
  • Applicant must be willing to work both independently and in a team.
  • Creative ideas are encouraged to continuously improve programming.
  • Assume standard office duties, including but not limited to; word processing, copying, faxing, scanning, editing, mailing, phone reception, email, taking meeting minutes, creating spreadsheets, and other general office duties as assigned.
  • Assist all Extension faculty as time permits and as authorized by the Extension Director.  Keep Extension Director informed of activities.Handle communication with Extension programming participants through mail, flyers, advertisements, letter, email, phone calls, and website. Maintain class registration through phone and website; create, organize and maintain class rosters.
  • Assist with reports and paperwork related to faculty programming by maintaining and organizing budgets, travel paperwork, timecards, purchasing and other required reporting and program evaluations.
  • Assist in the inventory of 4-H curriculum and supplies and in determining needs and ordering supplies.
  • Attend 4-H Leadermete (Spring) and 4-H In-Service (Fall) at various locations in the state.

Qualifications

Minimum Qualifications:

  • 2 years of office related experience, higher education or equivalent.
  • Self-Motivated and able to accomplish a variety of tasks without direct supervision and able to adhere to deadlines.
  • Demonstrate professional work manner and ethics; including but not limited to, properly handling sensitive and confidential business data and personal information.
  • Demonstrate effective communication skills, both written and oral.
  • Demonstrate strong organizational skills and ability to pay attention to detail.
  • Excellent computer skills and proficient knowledge of a variety of Microsoft programs such as word, excel, and other basic computer operations.
  • Must display exceptional human relation skills and be able to pleasantly interact with a variety of individuals.
  • Must be able to work effectively with supervisors, clientele, co-workers, volunteers, and professionals.
  • Some flexibility in work schedule required for occasional evening and Saturday program.
  • The selected candidate will be required to pass a background check, in connection to assisting with youth programs.
  • Skills in using social media; including but not limited to, Facebook, Twitter, Instagram, YouTube, and Pinterest.

Preferred Qualifications:

  • Bachelor's degree or four years of work experience as an administrative assistant.
  • Motivated individual with a creative thought process.
  • Strong attention to detail and a good eye for aesthetic work.
  • Strong editing skills.
  • Excellent budget tracking skills.
  • Knowledge of Cooperative Extension Services.
  • Ability to speak, understand, and write in Spanish.
  • Sense of humor and ability to keep things in perspective.
  • Experience recording and/or setting up for presenting online and live programming.
