Overview

Event Services is a growing department whose primary function is to assure the events hosted by Utah State University, "Exceed Expectations".

 

The primary purpose of the Equipment and Setup Coordinator II (Coordinator Service II) is to assist with the logistical management of event spaces in multiple event venues including, but not limited to the Taggart Student Center, Eccles Conference Center, University Inn (5th Floor), David B. Haight Center, West Stadium Center, Spectrum, and other indoor and outdoor spaces for university and public events. Duties include the setup and striking of event equipment such as: chairs, tables, stages, and other event related equipment. In addition, the Equipment and Setup Coordinator will assist with cleaning and maintaining event equipment and spaces, to maximize a healthy, safe, pleasant, and functional environment. They work as a member of a team to complete tasks.

Responsibilities

Event Setup and Strike
Under the direction of the Equipment and Services Coordinator:

  • Operate mid-sized to large moving trucks in the transportation of event equipment and materials
  • Coordinate customer needs with coordination team to ensure proper, accurate and timely venue and equipment set up
  • Confirm event space before and after setup to ensure cleanliness and order accuracy as well as readiness for next event
  • Communicate at a high level with many event stakeholders
  • Read and follow setup maps and instructions
  • Coordinate change orders with coordination team
  • Transport equipment and supplies between storage space and event location
  • Organize and assemble setup equipment (chairs, tables, stage, pipe & drape, podiums, etc.)
  • Cleans and prepares event spaces including floors, walls, tables and chairs, etc.

    • Removes debris from trash receptacles and keeps liners and receptacles clean.

  • Remove equipment not required for event
  • Following event strike equipment, inventory, inspect for damage and clean as necessary
  • Adhere to policies and procedures including event tracking, project fulfillment and information flow

Event Setup Planning

  • Review daily and weekly setup schedules for accuracy
  • Attend weekly coordination meetings as assigned
  • Under the direction of the Equipment and Services Coordinator:
  • Create setup maps
  • Attend planning meetings with customer and Program Coordinator as assigned

General Functions

  • Participates in trainings
  • Provides guests, customers, students and employees with directions, general information and assistance as requested
  • Practices and promotes continuous improvement of environmental and safety practices
  • Follow and initiate all department and venue procedures in the event of an injury, emergency or evacuations
  • Follow all campus and building policies and procedures as identified by Utah State University
  • Performs all functions assigned by the Equipment and Services Coordinator

Other Specific Functions

  • Safely and effectively back a pickup truck and large trailer into tight spaces using complex maneuvers
  • Load and unload event related equipment and materials on and off trucks and trailers, while ensuring that appropriate padding and straps are used to prevent injury or damage
  • Safely operate mechanical tailgates, and mechanical lifts to facilitate loading and unloading equipment
  • Supervise assigned hourly employees to accomplish setup tasks and other tasks as assigned
  • Assist Coordinator with training of hourly employees
    • Execute training strategy of the Team Leader/Supervisor

Reporting and Supervisory Responsibilities

  • The Equipment and Setup Coordinator II reports to and receives direction from the Equipment and Services Coordinator. The Equipment and Setup Coordinator II may train and lead a number of hourly employees.

Qualifications

Minimum Qualification:

  • Two years of related experience or an equivalent combination of education and experience

Knowledge, Skills, and Abilities:

  • Setup
    • Knowledge of methods to set up and strike various event related equipment including chairs, tables, stages, etc.
    • Ability to learn about and care for event related equipment
    • Skilled with computers and programs, including Microsoft Word, Excel
  • Other
    • Ability to hook to, pull, and back a trailer
    • Ability to receive regular direction and coaching from a supervisor or manager
    • Ability to learn through training, observation and hands on experience
    • Ability to perform tasks without close supervision
    • Ability to work well under pressure; meeting multiple and sometimes conflicting deadlines
    • Ability to work flexible hours as needed
    • Train and lead hourly and/or student employees
    • Knowledge of proper cleaning methods and standards
    • Safe utilization of cleaning supplies and equipment
    • Ability to assist with snow removal as required
    • Ability to understand chemical cleaning application and methods
    • Detail oriented
    • Ability to act professionally with coworkers and customers
    • Reflect a positive Utah State University image
    • Skilled in customer service including resolving customer concerns
    • Knowledge of safe work practices
    • Understand and follow safety procedures

Indoors, in an office space, event space, or public space are protected from weather conditions, but not necessarily from temperature changes.
