Overview

The College of Humanities and Social Sciences (CHaSS) Business Services Team is seeking a Business Manager I to manage and coordinate the business operations of the Department of English. Incumbent will oversee activities such as budget preparation and control, human resources assistance, accounts payable and receivable, and contract and grant accounting. The anticipated start date for this position is June 19, 2023. 

 

The Business Manager I will report to the CHaSS Financial Officer and will work closely with the Department Head of English. This position may train and guide other business services staff in the college. 

Responsibilities

  • Functions as a primary resource and business consultant to the Department Head, faculty, and staff in the Department of English and CHaSS.
  • Oversees and manages daily activities and transactions within assigned area, including p-card, financial banner, travel, and personnel functions.
  • Coordinates financial aspects of proposals, contracts, grants, etc. Assists faculty with proposal budget creation and submission within the Kuali proposal submission system. Assists staff in administering proposals to ensure compliance with federal, state, and University policies.
  • Performs functions such as budget preparation, budget reconciliation, EPAF creation, data management, and fiscal information support.
  • Monitors and reconciles all department indexes.
  • Maintains records for non-capital inventory.
  • Ensures payroll is properly recorded and processed.
  • Develops and maintains databases.
  • May train, guide, and mentor business services staff, as assigned.
  • Maintains annual budgets using proper accounting/budgeting methods and retains records of financial figures for comparison with estimated budget.
  • Coordinates, designs, and implements financial/management systems.
  • Processes graduate assistantships, tuition awards, scholarships, and graduate insurance.
  • Provide oversight of scholarship awards to ensure that donor stipulations are followed. 
  • Manage department scholarship accounts; report available balances for the Scholarship Award Committee; resolve student payment issues after scholarship distribution.
  • Communicates and coordinates with other colleges and departments within and outside USU regarding financial matters.
  • Reconciles and reviews financial statements to ensure accuracy.
  • Performs miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualifications:

  • Bachelor’s degree in a business field or an equivalent combination of education plus experience

Preferred Qualifications:

  • Knowledge of USU's Banner (specifically the Finance and HR modules), ServiceNow, AggieTime, EZBuy, and Argos, systems.
  • Knowledge/experience with Travel processes and procedures at USU.
  • Knowledge/experience working with tuition waivers/scholarship processes at USU.
  • Knowledge of USU policies and procedures.

Knowledge, Skills, and Abilities 

  • Knowledge of finance enterprise systems and software.
  • Computer skills, including Excel and Windows.
  • Knowledge of management reporting systems.
  • Knowledge of finance, accounting, budgeting, and cost control procedures.
  • Knowledge of procedures used in the financial field.
  • Ability to train and lead staff.
  • Problem solving and critical thinking skills.
  • Knowledge of contracting processes and associated local, state, federal, and other regulations.
  • Ability to develop and maintain recordkeeping systems and procedures.
  • Skilled in budget preparation and fiscal management.
  • Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections.
  • Knowledge of software to quantify and illustrate complex financial reports, comparisons, impacts, and/or projections.
  • Ability to work independently with limited supervision.
  • Ability to make coherent and appropriate decisions in a timely manner.
  • Strong work ethic--commits to integrity and performs duties with diligence.
  • Ability to maintain confidentiality.
