Overview

This position is embedded in the new College of Veterinary Medicine at Utah State University (USU CVM), which currently is in the process of being established. Under the direct supervision of the Associate Dean of Academic Affairs, the incumbent in this position will perform a variety of administrative support and/or secretarial duties for the Offices of Academic Programs, Clinical Programs, and Student Services at the College of Veterinary Medicine at Utah State University. The incumbent will also provide support to the Dean of the college.

Responsibilities

  • Performs office duties, including data entry, filing, appointment scheduling, and other general duties as assigned.
  • Creation of surveys for students, alumni, and other stakeholders.
  • Curriculum development: Curriculum mapping using a variety of software, assisting faculty create course and lecture objectives, curricular review, outcomes assessment.
  • Provides assistance by scheduling and coordinating appointments and meetings.
  • Scheduling meetings and rooms.
  • Course scheduling.
  • Assist with student and program assessment.
  • Attend meetings and take notes.
  • Reviews/edits documents for completeness and accuracy.
  • Composes professional correspondence and various standard documents.
  • Arranges maintenance of office equipment.
  • Performs miscellaneous job-related duties as assigned.
  • Curriculum Coordination: Provide instructor support, including course tracking and room scheduling; maintain a repository of course syllabi; assemble course materials (Verba); interface with Registrar’s Office; and maintain records in Banner, etc.
  • Event support in coordination with the CVM Program Assistant.
  • Grades (coordination, reporting, and tracking).
  • Graduation audit/transcript Audit.
  • Student matriculation into veterinary school.
  • Assist with scholarship tracking and faculty, staff and student awards.
  • Assist with student admissions.

Qualifications

Minimum Qualifications:

  • Four years of experience; or an associate degree/technical training plus two years of experience; or a bachelor’s degree is required.

Knowledge, Skills, & Abilities:

  • Skilled with computer programs and related software.
  • Skilled in creative problem-solving.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Excellent organizational skills.
  • Excellent critical thinking skills.

  • Ability to handle sensitive and confidential business data and personal information.

College/Department Highlights

The Department of Veterinary Clinical and Life Sciences is the first academic department to be formed within the new College of Veterinary Medicine. The CVM was created in July 2022 after a ten-year partnership within the WIMU Program at Washington State University. The College plans to enroll its first cohort in the fall of 2025, and is currently planning the construction of a new facility. It is an exciting time to be a part of this great team!
