Overview

The Dean's office within the College of Engineering is searching for a Staff Assistant who can adequately perform a variety of administrative support and secretarial duties within the Advising Office and will work in the Dean's office, specifically the Associate Dean over Academics Affairs, as needed. The Staff Assistant may train and supervise student employees.  The Staff Assistant reports to the Associate Dean over Academic Affairs. 

Responsibilities

Typical functions include, but are not limited to:

  • Performing office duties, including answering phones, directing calls to appropriate parties, data entry, filing, and other general duties as assigned.
  • Providing administrative support, including scheduling appointments, coordinating meetings/conferences, and maintaining/ordering office supplies.
  • Serving as a liaison with other departments and constituencies in the resolution of matters concerning the activities and operations of the department.
  • Greeting and directing visitors.
  • Sorting, screening, and distributing incoming and outgoing mail.
  • Composing and word-processes various standard documents, correspondence, and reports.
  • May update website content.
  • May provide non-business-related support for departmental programs and projects.
  • Conducting research, compiles data, and prepares papers for consideration and presentation by executives, committees, and directors.
  • Assisting students, staff, and superiors with highly varied, complex, and non-recurring questions and/or problems.
  • May work independently to provide high-level administrative support to a large or complex program.
  • Performing miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualifications:
  • A Bachelor’s degree of any type earned from an accredited University OR an equivalent combination of education and experience
  • A working knowledge of office computing software including, but not limited to the use of Microsoft Office products (Excel, Word, Outlook), Windows and Box.
Preferred Qualifications:
  • Experience in a service role involving interactions with staff and the public.
  • Knowledge of or ability to learn and follow University policies and procedures.
  • Knowledge of University-specific systems such as Banner, MyTime, etc.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
Knowledge, Skills, and Abilities:
  • Skilled with computer programs and related software.
  • Excellent critical thinking skills.
  • Skilled in creative problem solving.
  • Good organizational skills.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.

Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes.  The employee is regularly required to sit and often uses repetitive hand motions. The staff assistant three may have an opportunity to travel out of town for conferences on occasion.
