Overview

The Human Research Protections (HRP) and Institutional Review Board (IRB) Staff Assistant III is integral to the smooth functioning of Utah State University's Human Research Protection Program (HRPP). The IRB is responsible for ensuring that all research conducted by USU faculty, staff, and students involving human participants is conducted ethically, in line with all legal requirements, and with strong protections in place for research participants. This is done by having all research with human participants submitted for review, and conducting the research in accordance with the Belmont Principles of Respect for Persons, Justice, and Beneficence.

 

The HRP Office and Institutional Review Board seeks a detail-oriented, organized, and energetic candidate to serve as a Staff Assistant for its office and many of its intermediate tasks. This is a full-time, benefited, classified position. After six months of strong performance, this position can be considered for part-time telework.

Responsibilities

  • Ensure accurate and timely front-line service to faculty, staff, and students seeking guidance.
  • Maintain and/or create clear, timely, and organized records of all IRB meeting schedules, attendance, minutes, and agendas. Work closely with the IRB Chair to support the operations of the IRB.
  • Create draft notifications of IRB determinations for review by the HRP Director and IRB Chair; send notifications on behalf of the IRB.
  • Compile monthly reports of the IRB's review activities using existing tools or the creation of new tools for this purpose.
  • Manage the annual administrative check in process for all Expedited protocols, and select protocols for post-approval monitoring by protocol review staff.
  • Coordinate tasks involving partner offices (e.g. thesis and dissertation approvals; COI and ICOI reviews; 118 Determinations; SONA postings).
  • Schedule and supervise two part-time employees to ensure front desk coverage 40 hours per week, and fill in where necessary, including covering their responsibilities as appropriate.
  • Complete certain protocol review tasks, such as personnel amendments.
  • Manage the tracking of relevant trainings and qualifications for researchers
  • Support the activities of the HRP Executive Director, including annual reports to accreditors and education activities within and outside the campus community.
  • Routine office tasks, such as maintaining office equipment and supplies, answering phones, managing schedules, retrieving mail, completing errands, filing, and scanning (and delegating these as appropriate).
  • Create and maintain educational resources for HRP stakeholders, in close collaboration with other HRP Office staff.
  • Other duties as assigned.

Qualifications

Minimum Requirements:

  • Associate's Degree or applicable technical training plus two years of experience; OR four years applicable experience; OR a Bachelor's degree is required.
  • Excellent technological skills, including proficiency in Microsoft Office programs, and a willingness to learn how to use new software and programs (e.g. Kuali Protocols, Airtable, Slack).
  • Demonstrated ability to handle sensitive and confidential business data and personal information.
  • Knowledge of or willingness to learn University & HRPP policies and procedures
  • Outstanding organizational skills.
  • Positive, collaborative attitude.

Preferred Qualifications:

  • Bachelor’s Degree in a research-related field.
  • Experience working in a research setting.
  • Advanced working knowledge of the Spanish language.

Knowledge, Skills, & Abilities:

  • Experience working in an office setting.
  • Excellent critical thinking and creative problem solving skills.
  • Excellent written and verbal communication skills.
  • Record of timely and consistent work attendance.
  • Ability to work at a high level without supervision (i.e. being self-directed).
