Overview

The Program Assistant II to the Diversity, Equity, and Inclusion (DEI) Director of Education and Professional Learning will facilitate ongoing programmatic efforts with the Director and teams within the unit at USU. The person in this position will coordinate programs and activities for the unit including but not limited to events and learning forums. They will also manage the director's schedule, maintain internal and outreach communications, assist with learning opportunities and programs, assist with promotional materials and content for website, co-facilitate and oversee logistics for certificates, and organize the unit's budget tracking and inventory.

Responsibilities

Office Management

  • Organize, collect, and share data and analytics with on and off-campus partners for the Education& Learning (E&L) unit and the Center for Diversity & Inclusion-USU Eastern (CD&I) units
  • Complete processes and file papers related to purchasing, inventorying, and tracking for the E&L unit and the CD&I unit (PCard Paperwork, Inventories, etc.)
  • Ensure everything gets logged and sorted properly
  • Attend staff meetings with the Director and other team members including leadership for the Center of Diversity & Inclusion at USU Eastern
  • Oversee and help maintain office cleanliness, Box organization, calendar/task list organization, and formal forms review

Process and Services Development

  • Answer and send work-related emails and updates on behalf of the Director and department/unit
  • Update all calendars (including DEI and USU calendars), send reminders, and schedule rooms for meetings/events (agendas, venue locations, etc.)
  • Review on and off-campus requests for learning opportunities statewide, organize requests, and then, compile information for the Director and team to respond
  • Organize notes, recordings, and documentation within Box and other cloud platforms
  • Create in collaboration with the DEI VP Administrative Assistant plans for thank you and recognition of stakeholders, presenters, team members, etc.

Promotional and Website Development

  • Collaborate with the marketing manager to build approved visuals, presentation templates, and communication templates to ensure consistent branding for learning opportunities, tabling for orientation, etc.
  • Update and oversee the division calendar and linktr.ee
  • Collaborate with web master and team to create content to provide more information on inclusive excellence education and offerings

Program and Initiative Coordination

  • Assist in implementing pathways and collaboration for students, faculty, and staff to gain access to inclusive excellence learning and education
  • Attend events and programs within the unit, providing feedback and documentation
  • Work with campus and community stakeholders to organize, plan, and facilitate learning initiatives
  • Assist in coordinating graduation recognition for USU multicultural students across the USU system, including at statewide campuses

Facilitation and Training

  • Work with division Certified Peer Educator (CPE) facilitators to execute certificate curriculum
  • Attend training and/or meetings as appropriate and necessary

Monthly Budget Tracking & Unit Support

  • Communicate regularly with personnel in Business Services who assist with billing, contracts, purchasing, production, and mailing of items etc.
  • Scan receipts and paperwork and put them in the correct folders for the E&L unit and the CD&I unit
  • Update budgets and tracking spreadsheets for the E&L unit, the CD&I unit, and the NASNTI DEI grant,
  • Oversee and coordinate travel logistics for the E&L unit and the CD&I unit.

Qualifications

Minimum Qualifications:

  • Associate degree; OR two years or relevant experience; OR an equivalent combination of education and experience.
  • Demonstrated understanding of USU's mission of creating an environment that prioritizes the principles of community, inclusivity and success for all.
  • Demonstrated ability to work with diverse populations with a high understanding of intercultural and interpersonal competencies.
  • Familiarity with different student data & communication systems, marketing software, and business service protocols and logistics.

Preferred Qualifications:

  • Bachelor's degree.
  • Experience in facilitating workshops or other related educational forums.

Knowledge, Skills, and Abilities:

  1. Superior communication and organizational skills,
  2. Experience working with Microsoft Suite and social networking platforms,
  3. Demonstrated ability to multi-task in a fast-paced environment.
  4. Skilled with basic office equipment including printers, copiers, and telephone systems.
  5. Ability to coordinate and organize events and programs.
  6. Ability to collect data and generate reports using different university data systems.
  7. Knowledge of good marketing techniques.
  8. Ability to maintain highest levels of integrity and confidentiality.
  9. Ability to take initiative and work independently with minimal close supervision.
