Overview

The Department of Chemistry and Biochemistry in the College of Science is accepting applications for an experienced and professional Staff Assistant III. This position requires excellent organizational, interpersonal, and communication skills, and will perform functions essential to the smooth operation of the department. The position will be responsible for supporting the Department Head, faculty, and interfacing with College of Science Staff.

 

The Staff Assistant III may train and guide less experienced, hourly and/or student employees. The position reports directly to the Department Head.

Responsibilities

  • Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, and other general duties as assigned.
  • Provides administrative support, including scheduling appointments, and coordinating meetings/conferences.
  • Liaison with scheduling for Department class offerings.
  • Liaison for all course IDEA evaluations.
  • Organizes annual safety training for the Department.
  • Event planning such as the annual awards ceremony, department retreat, and agenda for job candidates.
  • Serves as a liaison with other departments and constituencies in the resolution of matters concerning the activities and operations of the department.
  • Greets and directs visitors.
  • Composes and word-processes various standard documents, correspondence, and reports.
  • Updates website content.
  • Provides non-business related support for departmental programs and projects.
  • Conducts research, compiles data, and prepares papers for consideration and presentation by executives, committees, and directors.
  • Assists students, staff, and superiors with highly varied, complex, and non-recurring questions and/or problems.
  • May work independently to provide high-level administrative support to a large or complex program.
  • Ability to coordinate and manage multiple projects or work duties simultaneously.
  • Performs miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualification:

  • Four years of experience; or an associate degree/technical training plus two years of experience; or a Bachelor’s degree is required.

Preferred Qualifications:

  • Experience with event planning.
  • Successful experience as an executive-level assistant in higher education.
  • Possess the advanced knowledge, developed skills, and experience to provide support in areas with more complex projects and/or operations.
  • Experience with webpage maintenance, and databases.
  • Experience with Digital Measures and e-Dossier.
  • Knowledge of USU policies relating to faculty and the tenure process.
  • Knowledge of University Course Scheduling process.

  1. Excellent customer service skills and ability to interact effectively with administrators, faculty, staff, and students in a professional manner.
  2. Skilled with computer programs and related software, including Microsoft Office Suite.
  3. Skilled with basic office equipment including printers, copiers, and telephone systems.
  4. Critical thinking and creative problem-solving skills.
  5. Excellent organization skills and very detail oriented.
  6. Ability to work quickly and efficiently on multiple tasks simultaneously.
  7. Ability to maintain a high degree of confidentiality and discretion.
  8. Excellent time management skills.
  9. Strong work ethic and commitment to high standards of excellence coupled with an enthusiastic approach to one’s work.
  10. Strong verbal and written communication skills, including ability to thoroughly proofread documents for grammar, spelling and punctuation.
  11. Knowledge of University policies and procedures.
  12. Highly dependable in all aspects including the ability to prioritize workload appropriately and meet deadlines.
  13. Ability to work independently with little or no supervision, as well as collaboratively and dynamically in team-based settings.
