Overview

Key contributor overseeing the administrative operations of the Custom Fit/Small Business Development Center (SBDC) Department. Tasked with managing a range of essential functions, including but not limited to report compilation, publication generation, record maintenance, contract execution, client interaction, data management, and staff support. Dedicated to ensuring the smooth and efficient functioning of departmental activities, while upholding compliance with regional guidelines and fostering positive client experiences. Committed to optimizing processes and providing valuable administrative support to drive the success of Custom Fit and SBDC initiatives.

Responsibilities

  • Streamline Reporting Processes: Implementing software or systems that automate report compilation can save time and reduce errors. This could involve using specialized tools for annual report generation and newsletter creation.

  • Centralized Record-Keeping: Utilize a comprehensive database system that integrates client training records, tracking, and reporting functionalities. This can enhance efficiency and provide easy access to information when needed.

  • Standardized Contract Execution: Develop standardized procedures or templates for executing Custom Fit contracts to ensure consistency and minimize errors.

  • Enhanced Client Interaction: Consider establishing an online portal or communication platform where Custom Fit clients can access information, submit documentation, and interact with staff easily. This can streamline communication and support processes.

  • Automation of Data Input: Explore options for automating data input processes, such as using barcode scanners or OCR technology to capture information from Proof of Payment and Proof of Completion documents.

  • Training Request Validation: Implement a standardized validation process for training requests to ensure alignment with regional guidelines and legitimacy of courses. This could involve developing a checklist or criteria for assessing training requests.

  • Improved Client Onboarding: Develop comprehensive orientation materials and resources to assist new clients with registration procedures and familiarize them with regional guidelines. This can enhance the client experience and facilitate a smoother onboarding process.

  • Training Program Development: Invest in professional development for staff members responsible for designing and administering lesson plans for business training and related courses. This can ensure high-quality training programs that meet the needs of clients effectively.

  • Efficient Operations Support: Implement tools or systems to streamline day-to-day operations support tasks, such as client screening, scheduling, and administrative duties. This can free up time for staff to focus on higher-value activities.

  • Flexibility and Adaptability: Stay responsive to evolving needs and requirements by regularly reviewing and updating duties and responsibilities to align with organizational goals and priorities.

Qualifications

Minimum Qualifications

  • Education and/or experience: Associate in related field required or three years experience and /or training in a related field.

Knowledge, Skills, and Abilities

  • Must possess outstanding written and verbal communication skills, interpersonal and organizational skills
  • Computer skills: To perform this job successfully, an individual should have knowledge of spreadsheet software, word processing software, customer database systems, Internet and e-mail.
  • Be able to type 50-60 wpm.
  • Ability to compile routine reports and correspondence.
  • Ability to speak effectively before a group of customers or employees of organization to explain our programs
  • Ability to work with individuals of all racial, ethnic, and socio-economic backgrounds, including those with disabilities
  • Ability to function independently with minimal supervision

Advertised Salary
