Overview

The Program Assistant – Center Administration (Program Assistant SR) performs program-related and/or administrative functions in support of the center’s administrators, faculty, academic, and/or research staff, programs, and events. This position reports directly to the Administrative Director and may supervise student employees.

Responsibilities

Provide High-level Daily Support to Various Groups within the Center:


• Manage schedules/calendars, schedule meetings, and provide necessary meeting support.
• Greet and direct center visitors.
• Perform onboarding tasks for new center faculty, staff, and students. Initiate and maintain individuals’ access to center’s many tools/systems, building access, and information.
• Participate in development and implementation of center policies and procedures; Provide training, instruction, and/or consultation to students, faculty, and/or staff.
• Assist with annual report data collection, excel table formatting.

 

Coordinate Center Activities/Conferences:


• Plan, arrange, and manage as necessary - registration, lodging blocks, catering, promotional emails/materials, travel arrangements, communicate with presenters tracking receipt and placement of materials on website and in print materials.

 

Purchase Lab Supplies:


• Make weekly purchases of requested lab supplies.
• Document receipt of items.
• Upload receipts to USU system.

Qualifications

Minimum Qualifications:

  • Six years of related experience; or an associate degree plus four years of experience; or a bachelor’s degree plus two years of experience is required.

Preferred Qualifications:

  • Event Planning/Management Experience

Knowledge, Skills, and Abilities:

  • Strong computer skills, including proficiency in Microsoft Office (Word, Excel, Outlook and PowerPoint).
  • Ability to work effectively in a fast-paced, demanding office, and manage multiple tasks and deadlines in a timely, effective, and detail-oriented manner.
  • Effective organization and problem-solving skills, with the ability to work independently with limited supervision.
  • Excellent interpersonal and proven customer service skills maintaining a positive friendly attitude with the ability to communicate in a professional manner with the university community, state officials, and International attendees.
  • Ability to make administrative/procedural decisions and judgments.
  • Ability to create, compose, and edit written materials.
  • Ability to maintain a high knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Knowledge of office management principles and procedures.
  • Ability to foster effective working relationships within a team environment.
  • Knowledge of university policies and procedures preferred by not required.
