Overview

The Center for the School of the Future (CSF) is searching for a Staff Assistant III. The incumbent will perform a variety of administrative support, secretarial and/or public relations duties for the CSF executive director, associate director, and the overall CSF team in achieving its organizational mission.

Responsibilities

Daily Operations

  • Provides reception duties for the CSF, answers phones, greets guests, receives and distributes mail/packages and fields questions from constituents.
  • Provides administrative support, which includes: scheduling appointments, meeting preparation and minutes, and other duties as needed.
  • Prepares letters and other documents as needed; routes documents for signatures as needed.
  • Maintains Director and Associate Direct calendars.
  • Maintains accurate information on college website and USU directory.
  • Maintains office supply inventory and ordering, filing, and initiate tasks to resolve issues.
  • Coordinates facility and key requests for CSF.
  • Assists with event and meeting planning which includes securing venues, catering, invitations. and facilitating at the event, which may require early, late, or weekend work hours.
  • Coordinates travel for CSF employees/events and uses purchasing card as needed.
  • Coordinates workshops and online courses supporting enrollment, event planning, speaker support and related activities. Receives and processes registrations, collects and receipts funds (credit/debit and check transactions), reconciles with school districts and other agencies as needed.
  • Liaisons with business services as needed.
  • Other duties as assigned.

Public Relations

  • Researches, writes, edits, and develops electronic and printed communication materials to enhance the image and reputation of CSF.
  • Works with Emma Eccles Jones College of Education and Human Services (EEJCEHS) PR & Marketing team to ensure that publications and materials are compliant with USU’s branding and Visual Identity program.
  • Works with the executive director and associate director to develop an annual CSF visibility and marketing goals, and will then independently design, and propose a multi prong plan to achieve these goals, including development of a data collection system to assess progress toward goals. This plan will pre-identify key decisions to be made to accelerate progress toward the goals and will identify scheduled progress checks across the respective year. The staff assistant III will seek input and final approval of the plan from Director and Associate Director, and will then lead implementation of the plan, and report on progress toward plan goals, and propose acceleration actions as per the plan description.  
  • Monitors content on social media pages, such as Facebook, Instagram, and Twitter.  Works with CSF administration and/or EEJCEHS PR & Marketing team to respond appropriately and promptly to questions and comments and address content issues.

Qualifications

Minimum Qualifications

  • Four years of secretarial or office-related experience; OR a certificate of completion of Business Administrative Support program plus two years of experience; OR an Associate’s degree plus two years of experience; OR a Bachelor’s degree plus one year of experience.
  • Good understanding of the English language; excellent written communication skills, including spelling, grammar, and letter writing; excellent proofreading skills.

Preferred Qualifications

  • Experience working in higher education.
  • Experience working in public education.
  • Knowledge of USU public relations policies.

Knowledge, Skills, and Abilities

  • Skilled with computer programs and related software.
  • Excellent critical thinking skills.
  • Skilled in creative problem solving.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.
