Overview

Reporting directly to the Assistant Director of Facilities within Campus Recreation, the Coordinator of Member Services (Program Coordinator II) has full autonomy and responsibility for managing memberships, managing all facilities student staff (35-45 students), strategic planning for space use of all recreational space at Utah State University, ongoing evaluation of risk management, maintaining and updating recreational policies that impact member experiences, and management of budgets. The Coordinator of Member Services is the point of contact for addressing all needs of members and guests of Utah State University recreational facilities. This individual will be a key team member of the Campus Recreation Department, which provides aquatic programs, club sports, fitness/wellness, intramurals, outdoor recreation, special events, extramurals, and collaborative programs.

Responsibilities

Program Management

  • Provide leadership and direction while overseeing the development and operation of member services to include, but not limited to, sale of memberships, expansion of memberships, revenue-generating services, and special events and offerings.
  • Oversee, review and approve incoming scheduling requests from USU student groups and organizations, USU departmental groups, and outside organizations.
  • Manage services for members in the Aggie Recreation Center; Health, Physical Education and Recreation (HPER) Building; George Nelson Fieldhouse; Aggie Legacy Fields; Northeast Recreation Field; Challenge Course; Esports Center; and other recreational spaces on the USU campus available for reservation.
  • Communicate to Event Services and off-campus groups regarding scheduling and university risk management policies.
  • Attend regular contract signing and coordination meetings as the representative of Campus Recreation.
  • Set and adjust pricing structures for rental groups of Campus Recreation spaces.
  • Process and hold accountable all fiscal, travel, and personnel transactions including all accounts receivable and payable transactions.
  • Maintain Campus Recreation policies and procedures ensuring that they remain up-to-date and in line with best practices and current laws.
  • Manage and update the website with space reservations.
  • Work with the Card Office to ensure timely and accurate upload of Student, faculty & Staff lists to the Fusion system.
  • Promote the sale of memberships to eligible people.
  • Manage Fusion memberships and eligibilities in partnership with Assistant Director of Facilities.
  • Manages inventory of goods sold to or provided to members
  • Maintain member response program, including suggestion box, email questions, phone-calls, etc.
  • Oversee departmental membership services, assisting current members and attracting new patrons.
  • Partner with Coordinator of Marketing to coordinate information fairs and presentations for University departments and units.
  • Serve as liaison to weekly campus events coordination meeting and on the Division of Student Safety Committee.

Personnel Management 

  • Recruit, hire, train, mentor, and evaluate student office assistants.
  • Ensure delivery of a comprehensive student development program for student staff within Campus Recreation Programs.

Budget Management 

  • Provide budget oversight including research, development, monitoring, reports and adhering to university policies and procedures.
  • Oversee student payroll, tracking, and approvals.
  • Manage the creation of and ensure payment of all invoices for rental groups.

Research & Assessment 

  • Analyze & assess the overall effectiveness and satisfaction of Campus Recreation members and recommend changes.
  • Prepare written communications such as monthly reports, annual reports, participation statistics, etc.

Other

  • This position will be asked to flex time to work some nights and weekends for Campus Recreation functions and special events.
  • Actively participate on a variety of Aggie Recreation Center, Campus Recreation and University committees as assigned.

Qualifications

Minimum Qualifications:

  • Graduation from a four-year college or university with two years of work experience OR an equivalent combination of education and experience.
  • Basic knowledge of recreational facility scheduling and operational supervision.
  • Work varying hours including early mornings, late evenings, and weekends.

Preferred Qualifications:

  • Bachelor's degree with a major in sports management, recreation administration, physical education, kinesiology/exercise science, business administration, or a related field
  • Master's degree in related field of recreation administration or sports management
  • Two years of professional experience managing, developing and scheduling at a college/university recreational program (including Graduate Assistantship).
  • Standard Red Cross First Aid, CPR, AED and/or instructor certification (or willingness to obtain within 60 days of start)
  • Active involvement in NIRSA – Leaders in Collegiate Recreation
  • Broad-based technical knowledge of facility management

Knowledge, Skills, and Abilities:

  • Administration, personnel & organizational management knowledge
  • Knowledge and skills for Budgeting
  • Skilled in the use of personal computers and related software applications.
  • Principles of superior customer service, and effective marketing
  • Ability to interact with students, faculty and/or staff in a team environment
