Overview

The Staff Assistant II will be responsible for providing the first impression of USU to prospective students and their parents for the Admissions Office. The successful applicant must be friendly and enjoy working with students, detail oriented, self-motivated, organized, and able to work in a fast-paced office as a selfless team member.

Responsibilities

Front Desk and Student Workers:

  • Open and close the Admissions Office based in Logan daily.
  • Oversee front desk (ex. Answer phones, help walk-ins, answer emails, general customer service, assist Admissions Officers, fulfill information requests, etc.)
  • Manage student employees assigned to front desk (including hiring in AggieHandshake, onboarding, continuous training as needed, scheduling and coaching)
  • Liaison across functional teams to serve prospective students (ex. Student Financial Support, Registrar’s, Student Orientation, etc.)
  • Coordinate training and teambuilding for student workers across the Division of Strategic Enrollment Management

General Office Management:

  • Collect, scan and manage office receipts
  • Weekly meetings with various office teams (ex. Recruitment Team, Admissions Officer Team, etc.)
  • Track and order supplies
  • Maintenance of office equipment (ex. Technology, printers, etc.)
  • General office assisting and scheduling for leadership team
  • Deposits of application fees and other payments
  • Oversee application fee refunds

Enrollment Deposit:

  • Field questions on the Enrollment Deposit
  • Ensure students pay for the correct semester
  • Oversee the Enrollment Deposit postponement form
  • Manage the payment accounts in conjunction with the Yield Team and Registrar’s Office

Qualifications

Minimum Qualifications:

  • Two years of office related work experience OR an Associate's degree or related certification OR a combination of relevant experience and education
  • Must have a positive attitude, excellent clerical skills, a strong work ethic and interpersonal skills
  • Must have the ability to work under pressure in a fast-paced office environment as well as excellent problem solving and organizational skills
  • Computer skills including but not limited to: Windows, word processing, and spreadsheets

Preferred Qualifications:

  • Experience using customer relations management software
  • Experience supervising students
  • Bilingual
  • Familiarity with USU policies and procedures
