Overview

The College of Veterinary Medicine is in search of a Business Assistant III to join our growing team. This person plays a crucial role in supporting the financial and administrative functions of the colllege, ensuring compliance with policies, while contributing to the efficient operation of the Business Services support team. Incumbent will initiate, complete, and facilitate personnel, procurement, travel, and other functions as assigned.

 

The position requires organizational skills and needs to be able to work independently as well as be a team player.

Responsibilities

Personnel Support:

  • This person will ultimately be responsible for processing all new hires and employment actions. They will provide expertise in all aspects of HR providing guidance to administration, faculty, and staff relative to unicersity policy and procedures.
  • Serve as the College of Veterinary Medicine's (CVM) main point of contact for faculty hires, assuring all policies and procedures are followed and tracked in accordance with the guidelines set forth by the Provost's Office.  
  • Facilitate hiring processes for new staff, hourly/student, and volunteer employees.
  • Manage timekeeping system for tracking employee hours.
  • Organize and maintain files and records.

Procurement Support:

  • This person will serve as the first point of contact for all procurement activity within the CVM. They are expected to become a content expert on allowable expenses, account codes, and all policies related to purchasing supplies and equipment within USU's system.
  • Process requisitions, bids, and payments of invoices, and upload receipts and support documention related to pcard expenses.
  • Support the annual non-capital inventory for college, and provide support to the Office of Physical Resources to complete the capital equipment inventory each year.

Travel Support:

  • All travel requests will be managed by incumbent. They must be able to guide all faculty, students, and staff in requesting travel and the timely reimbursement of travel expenses. May provide travel support as needed (i.e., reservations for rental cars, lodging, etc.)

Qualifications

Minimum Qualifications:

  • Six years of related work experience; or an associate degree/technical training plus four years of related work experience; or a bachelor’s degree in a business field plus two years of related work experience

Preferred Qualifications:

  • Knowledge of University policies and procedures.
  • Travel planning
  • Work in HR environment a plus

Knowledge, Skills, and Abilities:

  • Strong work ethic and ability to work in a fast-paced environment.
  • Excellent customer service and interpersonal skills.
  • Must have excellent communication skills - both oral and written.
  • Proficiency in Microsoft Office (Excel, Outlook, Word) and other applications.
  • Organizational skills with attention to detail.
  • Ability to manage multiple responsibilities and deadlines.
  • Ability to prioritize tasks and work independently.
  • Attention to detail and problem-solving skills.

Currently, the USU College of Veterinary Medicine participates in a "2+2" program with the College of Veterinary Medicine at Washington State University and the broader Washington-Idaho-Montana-Utah (WIMU) Regional Program in Veterinary Medicine, which provides instruction to 30 students in each class cohort. However, in 2022 the state of Utah approved the creation of a full four-year Doctor of Veterinary Medicine degree program at USU, with the goal of admitting its inaugual class of 40 students in the fall of 2025 and supporting a class size of 80 veterinary students in subsequent years. The new college is the only veterinary medical education program in Utah.
