Overview

The Utah State University Admissions Pathways & Engagement Department seeks a student-oriented individual to join our Events Team. The Event Coordinator will be primarily responsible for large scale recruitment events hosted on campus focusing on development and strategic planning for the Campus Tours for prospective students, Group Tours, and Junior Preview Day Programs.  Attendance ranges from 50-700 prospective students and their families across the different events. This position requires excellent interpersonal, logistical, and organizational skills as the candidate will work with prospective students, parents, counselors, USU departments, vendors, venues and other community members.

 

Recruitment at USU is a team effort. The successful candidate will be instrumental in creating meaningful experiences with USU that impact a student’s decision to enroll. Event attendance increases the likelihood that a student chooses USU and is a crucial enrollment management indicator. This position will assess and analyze event metrics, explore ways to innovate, and build relationships among all USU campuses, departments and colleges. The candidate must be a self-starter and work well both independently and in a team.  These events and activities advance USU’s mission of recruitment and helping prospective students find their best fit at USU.

 

This position allows for flexibility in the work schedule and can accommodate slight variations to traditional business hours. Occasional evening and weekend work is required. This position is eligible for hybrid remote work within the state of Utah with the primary office location in Logan, Utah.

Responsibilities

  • Strategic management, implementation, and yield (ROI) for Campus Tours for Prospective Students, Group Tours, and Junior Preview Days programs. More information on these programs on the USU Admissions Events website (usu.edu/admissions/events).

    • Including conception, development, planning, and execution of the events.

    • Coordination and relationship building with staff and students across campus.

  • Development and oversight of operational components such as CRM software, registration, and scheduling.

    • Welcome participants and give presentations regarding undergraduate admissions information and academic scholarships for new students.

    • Develop campus tour materials in conjunction with the marketing team such as folders, handouts, viewbooks, etc.
    • Oversee back-end logistics for campus tour events in the Salesforce CRM.

    • Proactively identify ways to enhance the tour experience for students and provide proposed solutions.

  • Participate in the following programs as a member of the Events Team:

    • Utah State University Leadership Conference

    • True Blue Days

    • Open Houses

    • Next Step Nights

    • Community Outreach

  • Mentor and train a team of students and staff on how to perform their assigned role at events. Perform assessment and analysis following the events to determine success of the events.

    • Develop Certification & Training program that is provided to all Student Ambassadors to provide campus tours to the guests.

    • Certify and train the Student Ambassadors in the Campus Tour Program.

    • Oversee and advise a small team of University Ambassadors (20+ students).

    • Provide reportable grades for Student Ambassadors to receive credit for their course.

    • Review post-event surveys and counsel Student Ambassadors on event responsibilities.

  • Manage program budgets

  • Act as a liaison to other departments and community partners for the success of the programs including dining services, venue selection, and other logistics for the programs.

Qualifications

Minimum Qualifications:

  • Four years of experience; or a bachelor’s degree; or an equivalent combination of education plus experience.

Preferred Qualifications:

  • Experience planning and executing large-scale events.
  • One year of related experience in university admissions and/or recruitment.
  • Strong customer service orientation, experience, and knowledge with the ability to apply those skills in creating positive relationships with others.
  • Ability to work with various audiences, including prospective students (traditional & post-traditional), parents, counselors, alumni, university community members, and other constituents.
  • Familiarity with Customer Relations Management Software (e.g. Recruit, Blackthorn, Salesforce, etc.), Banner, or other university software systems.

Knowledge, Skills, and Abilities:

  • Ability to build trusting relationships with coworkers, customers, and outside vendors.
  • Adaptable to changing conditions or work assignments, which include working occasional nights and weekends.
  • Creative problem solving and thinking for success of the programs.
  • Acute attention to detail.
  • Ability to manage data, run reports and analyze trends.
  • Adept logistical and project management skills.
