Overview

The Community and Campus Engagement team at Utah State University (USU) Eastern is seeking a highly organized and people-oriented person to serve as a Staff Assistant III in the division. This position performs a variety of administrative support, clerical duties, and project management for the Director of Community and Campus Engagement (C&CE) and all of the C&CE team.

Responsibilities

  • Provides direct administrative support for the Director of Community and Campus Engagement (C&CE) and others, including scheduling appointments, coordinating meetings/conferences/events, coordinating travel, and maintaining/ordering office supplies.
  • Provides support to the teams and personnel in the Division of C&CE.
  • Performs office duties, including answering phones, directing calls to appropriate parties, data entry, taking meeting notes, creating or reorganizing files, creating and processing forms, keeping records as appropriate, and other general duties as assigned.
  • Coordinates with various entities to ensure projects are on target, including performing outreach, meeting set up, and follow through with university staff.
  • Serves as a liaison with other departments and constituencies in the resolution of matters concerning the activities and operations of the department.
  • May write, edit, and coordinate the development of promotional materials, educational materials, training manuals, newsletters, SWAG, and/or brochures, as requested.
  • May produce graphic design for marketing and events.
  • May create and maintain website and social media content.
  • May hire, train, supervise, and evaluate part-time or student employees.
  • May calculate and prepare monthly budget reports, assisting the director with budgets and finances.
  • Greets and directs visitors.
  • Sort, screen, and distribute incoming and outgoing mail.
  • Composes and word-processes various standard documents, correspondence, and reports.
  • Receives and processes advancement donations.
  • Conducts research, compiles data, and prepares papers for consideration and presentation by executives, committees, and directors.
  • Assists students, staff, and superiors with highly varied, complex, and non-recurring questions and/or problems.
  • May work independently to provide high-level administrative support to a large or complex program.
  • Other duties, as assigned.

Qualifications

Minimum Qualifications

  • Four years of experience in office related work, or an associate degree/technical training plus two years of experience, or a bachelor’s degree.

Preferred Qualifications

  • Knowledge and experience with USU policies and procedures
  • Knowledge of Banner, Service Now, Argos, Curriculog, EZ BUY, ServiceNow, Millennium, and Asset View
  • Proficient in using Canva and Qualtrics
  • Experience in graphic design
