Overview

Come join the Human Resources (HR) team at Utah State University as a part-time Office Assistant! This position works an average of 20 hours per week (typically 15–29 hours), Monday through Friday during regular business hours (8:00 a.m.–5:00 p.m.), and provides essential administrative support to the HR office.

 

The main job duties include supporting office filing processes, maintaining and organizing employee records, and covering the front desk during the HR Administrative Assistant’s lunches and days off, as needed. This requires answering and directing phone calls appropriately, and assisting walk-in customers.

 

This role is ideal for someone who is detail-oriented, organized, and enjoys providing excellent customer service. As part of a fantastic, supportive team, you will interact with employees, candidates, and campus partners while gaining valuable experience in human resources and administrative operations.

Responsibilities

  • Assist with general office filing and filing projects
  • Scan and upload documents to electronic employee files
  • Front desk receptionist coverage as needed. Answering phones, directing calls to appropriate parties, and data entry.
  • Verifications of employment
  • Provide administrative support to the Benefits Team by reviewing, organizing, and routing incoming documentation.
  • Process employee termination files
  • Arrange and organize the office filing room
  • Research missing employee files
  • Request archived employee files
  • Performs miscellaneous job-related duties as assigned

Qualifications

Minimum Qualifications

  • High School diploma/GED.
  • Demonstrated experience in a public/customer service role.
  • Working knowledge of Microsoft Office programs.

Preferred Qualifications

  • Relevant post-secondary training or related certificate.
  • Prior clerical/office work experience.

Knowledge, Skills, and Abilities

  • Strong attention to detail.
  • Ability to communicate clearly, both verbally and in writing, with the public and customers.
  • Ability and skill to make decisions regarding the day-to-day operation of the functional area.
  • Ability to maintain and process highly confidential records and personnel information with discretion and confidentiality.
  • Competence in preparing routine administrative paperwork.
  • Demonstrated problem-solving abilities with creative solutions.
  • Ability to handle interactions with frustrated or upset customers professionally.
  • Strong organizational skills with the capacity to manage interruptions efficiently.
  • Works well in both team and independent environments.
