Overview

Business Services at Utah State University is seeking a Business Assistant II to support the Quinney College of Agriculture and Natural Resources. The Business Assistant II is an experienced-level role responsible for processing complex transactions, resolving exceptions, and providing advanced operational support. This role applies independent judgment, supports process improvements, and serves as a resource to entry-level staff.

Responsibilities

  • Process and maintain supporting documentation for departmental purchasing card (P-Card) transactions, ensuring accuracy and compliance with university policies.
  • Coordinate and complete departmental purchases in accordance with university procurement procedures and established financial guidelines.
  • Receive and process payments for departmental products and services; prepare and reconcile deposits in a timely manner.
  • Review, reconcile, and maintain financial records to ensure accuracy, completeness, and compliance with institutional standards.
  • Coordinate, schedule, and participate in departmental meetings, committees, and financial planning discussions.
  • Prepare invoices, payment requests, and related financial documentation while monitoring timely receipt of payments.
  • Process and reconcile Aggie Creamery and Market transmittals and related financial transactions.
  • Organize, maintain, and manage financial records and supporting documentation for audits, reviews, and reporting requirements.
  • Support departmental human resources activities, including position postings, onboarding paperwork, and employment personnel action forms for hourly employees, adjunct faculty, and graduate assistants.
  • Prepare travel authorizations, reimbursements, and supporting documentation in compliance with university travel policies and procedures.
  • Generate, analyze, and distribute routine and ad hoc financial reports for departmental leadership and stakeholders.
  • Develop and maintain spreadsheets, databases, and tracking systems to support financial operations and reporting needs.
  • Create, monitor, and reconcile invoices to ensure accurate billing and payment processing.
  • Manage accounts payable and receivable functions, including transaction tracking, account reconciliation, and follow-up activities.
  • Prepare, review, and process contracts, agreements, claims, and other administrative documents in accordance with university requirements.
  • Serve as a resource for faculty, staff, students, and external partners by responding to financial inquiries and providing guidance or referrals as appropriate.
  • Assist with financial transitions, process improvements, and special projects that support departmental operational effectiveness.
  • Perform other duties and special assignments as needed to support departmental and university objectives.

Qualifications

Minimum Qualifications:

  • Four years of related work experience; or an associate degree/technical training plus two years of related work experience; or a bachelor’s degree in a business field is required

Preferred Qualifications:

  • Experience with Excel and other Microsoft Office products
