Overview

The successful candidate coordinates typical business functions for the USU-Blanding campus. This includes initiating and completing tasks in the areas of travel, financial, personnel, and purchasing. This position also provides administrative support to the Blanding Campus Senior Associate Vice President (SAVP). This position is located at the USU Blanding campus in Blanding, Utah.

Responsibilities

Business Services (90%)

 

Financial 20%

  • Develops and maintains record keeping systems.
  • Develops and maintains spreadsheets and databases to track information.
  • Reviews and reconciles financial records.
  • Prepare entries to coordinate expenses and financial data for the following:
    • Utilities
    • Motor Pool ledgers
    • Motor Pool gas receipts
    • Housing deposits

Travel (20%)

  • Prepare and review Travel Authorizations and Travel Reimbursements in accordance with USU travel policies and procedures.
  • Maintain database of travel expense reports and emergency contacts.
  • Answer inquiries pertaining to travel.
  • Assist with booking travel arrangements when needed

Personnel (15%)

  • Complete I9s, W4, direct deposits & other HR forms
  • Post hourly positions in ICIMS or Aggie Handshake as needed
  • Complete onboarding checklist as needed
  • Submit requests for hiring, terminations, wage/salary increases, posting jobs into ServiceNow

Purchasing (20%)

  • Attach p-card receipts to transactions within ServiceNow
  • Review p-card transactions for accuracy and compliance to policy
  • Initiate purchases on behalf of other employees in department
  • Coordinate W-9 with outside vendors
  • Coordinate payment of invoices utilizing p-card or EZ-Buy System

Housing/Dining (10%)

  • Coordinate information and student lists with Director of Housing & Dining
  • Add meals plans and book/material funds to student cards
  • Add dorm and meal plan charges to student account in Banner
  • Process housing deposit receipts & refunds
  • Manage and update dorm and dining master lists
  • Coordinate invoices and meals and entertainment forms for catering provided by Blanding Cafeteria

Other (5%)

  • Provide training on business service tasks, such as travel, purchasing, p-cards, or other systems as needed
  • May be required to complete Federal and/or State compliance training
  • Performs miscellaneous job-related job duties as assigned

Administrative (10%)

  • Take minutes at high level meetings
  • Serve on committees to plan for campus events, such as commencement
  • Assist SAVP with initiating travel, scheduling meetings, maintaining calendar
  • Performs miscellaneous job-related job duties as assigned

Qualifications

Minimum Qualifications:

  • Six years of related work experience; or an associate degree/technical training plus four years of related work experience; or a bachelor’s degree in a business field plus two years of related work experience is required.

Knowledge, Skills, and Abilities: 

  • Knowledge of accounts payable procedures.
  • Knowledge of accounts reconciliation and ability to reconcile accounts.
  • Knowledge of methods, practices, and terminology used in preparing and maintaining financial and statistical records/reports.
  • Knowledge of purchasing policies and practices for a public institution.
  • Skilled with computer programs, including spreadsheets, relational databases, and statistical packages.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.
