Overview

The Utah Conservation Corps (UCC) Staff Assistant II will provide support to UCC staff through data management and member tracking for AmeriCorps program. The UCC Staff Assistant will also assist with other functions of the UCC office. This position is directly supervised by the UCC AmeriCorps Coordinator.

 

This position is eligible for hybrid work within the state of Utah.

Responsibilities

Assists UCC staff with tasks associated with multiple AmeriCorps grants - 90%


• Work directly with UCC AmeriCorps Coordinator to ensure compliance in AmeriCorps programs and AmeriCorps member management.
• Assist with all aspects of onboarding of AmeriCorps members, which includes handling confidential information, accurate tracking of progress, prompt communication, and monitoring of multiple systems.
• Complete National Service Criminal History Checks, including ordering, reviewing, adjudicating, and certifying screenings for 250+ AmeriCorps members per year.
• Generate, update, and complete electronic documents such as Enrollment Eligibility Verifications and Member Service Agreements.
• Submit and monitor progress of USU Service Now requests.
• Process timely enrollment and exits of AmeriCorps members in the eGrants system, including accurate tracking and recordkeeping.
• Assist with maintaining and monitoring AmeriCorps member files in compliance with federal, state, and university requirements.
• Obtain and file documentation of evaluations, reports, and actions involving AmeriCorps members.
• Assists AmeriCorps members and candidates with varied, complex, and non-recurring questions and/or problems.
• Assists with data tracking of performance measures and Public Land Corps Hiring Authority.

 

Assists UCC staff with other office related tasks - 10%


• Records minutes for staff meetings and annual staff gatherings.
• Communicates with UCC field offices, recruiters, and UCC’s Business Services representatives to ensure member support.
• Assists with review of policies, forms, standard operating procedures, handbooks, and orientation materials.
• Other duties as assigned.

Qualifications

Minimum Qualifications:

  • Two years of experience in an office setting or an associate degree/vocational training is required.

Knowledge, Skills, and Abilities:

  • Strong interpersonal skills
  • Experience with word processing and spreadsheet software and online office tools
  • Ability to accurately compile, update, and manage complex data with minimal supervision
  • Ability to organize and track large volumes electronic files in online multi-user systems
  • Strong oral and written communication skills
  • Ability to understand, document, and consistently follow procedures in a fast-paced, compliance-driven organization
  • Familiarity with community volunteerism, non-profit organizations, natural resource conservation issues, or national service preferred
