Overview

The Dean's Office in the College of Engineering is searching for an Administrative Assistant who will work directly with the Dean, the Associate Deans, and the Development Officers. This person will also perform a variety of administrative support and duties with the staff within the Dean's Office and will supervise student workers. This position will report to the Executive Assistant to the Dean.

Responsibilities

Approximately 65% of the position supports the College of Engineering Dean’s Office functions.

 

Responsibilities include, but are not limited to:

  • Event Planning: Work with personnel in organizing College of Engineering events such as Commencement and College Convocation, Senior Design Night, faculty retreats, Industry Advisory Board meetings, award ceremonies, and luncheons, in addition to other events as directed.
  • Assist Associate Deans: Screen inquiries and requests and use judgment to prioritize schedules and meetings for the Associate Deans.
  • Compose documents, correspondence, and reports.
  • Serve as backup to the dean’s assistant as needed.
  • Serve as backup to the receptionist as needed.
  • Supervise student workers.

Approximately 35% of the position is designated to support major gift fundraising efforts in the College of Engineering. The successful candidate will work directly with the Senior Director of Development and the Development Officer to deliver custom stewardship initiatives and will be supported by the central stewardship team in the University Advancement office.

 

Responsibilities include, but are not limited to:

  • Promote major donor engagement and philanthropy.
  • Support scholarship efforts by coordinating scholarship banquets and serving on the scholarship selection committees.
  • Support development officers by scheduling travel, delivering thank you letters, preparing endowment reports, and creating donor engagement events.
  • Proficiently navigate customer relationship management software (Blackbaud and Millennium) to access donor contact data.
  • Compile data for various reports as needed (Argos).

Qualifications

Minimum Qualifications

  • Vocational or technical training/Associate’s degree in an office or business field plus a minimum of four years of related experience; or a Bachelor’s degree in a related field plus two of experience; or six years of experience is required.

Knowledge, Skills, and Abilities

  • Skilled with computer programs, including spreadsheets, relational databases, statistical packages, presentation software, and graphic packages.
  • Excellent critical thinking skills.
  • Skilled in creative problem solving.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Strong verbal and written communication skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of university policies and procedures.
  • Excellent customer service skills.
