Overview

The Emma Eccles Jones College of Education and Human Services business services team is seeking a motivated and detail-oriented individual to join our team. Providing financial services support in cash handling, hiring, inventory, payroll, purchasing, and travel services, the Business Assistant II contributes to the success of Edith Bowen Laboratory School (EBLS), the Sorenson Legacy Foundation Center for Clinical Excellence (SCCE), and Department of Human Development and Family Studies (HDFS). The position requires excellent interpersonal and communication skills, the ability to balance multiple projects and deadlines, and the desire and capacity to work both independently and collaboratively as part of a productive team. Responsibilities

Provide Financial Services

  • Process daily deposits and transmittals.
  • Attach receipts to purchasing card transactions.
  • Coordinate purchasing transactions in accordance with university policies and practices.
  • Prepare travel authorizations and complete travel reimbursements in accordance with travel policies and procedures.
  • Provide professional customer service; respond to questions by phone, in-person and by email in a prompt, courteous manner.
  • Maintain accurate inventory of capital and non-capital items.

Provide Personnel Services

  • Submit job postings.
  • Collect and process required employment forms.
  • Manage systems for tracking employee leave, hours and payroll.

Qualifications

Minimum Qualifications:

  • Four years of related full-time work experience; or an associate degree/technical training in a business-related field plus two years of related full-time work experience.

Preferred Qualifications:

  • Experience in payroll processing at USU through AggieTime/Banner.
  • Experience in MyTime setting up schedules and/or leave manager.
  • Experience in ServiceNow Pcard system as receipt attacher or cardholder.
  • Experience in working in a HIPAA environment.
  • Working knowledge of USU’s purchasing policies.
  • Working knowledge of USU operational policies.
  • Keyboarding and ten-key skills to support accurate and timely data entry.

Knowledge, Skills, and Abilities: 

  • Knowledge of accounts payable procedures.
  • Knowledge of accounts reconciliation and ability to reconcile accounts.
  • Knowledge of methods, practices, and terminology used in preparing and maintaining financial and statistical records/reports.
  • Knowledge of purchasing policies and practices for a public institution.
  • Skilled with computer programs, including spreadsheets and relational databases.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
  • Excellent customer service skills.
