Overview

Utah State University (USU) in beautiful Logan, UT is looking to hire a Staff Assistant III for the Office of Academic Belonging & Learning Excellence.

 

This position supports the Executive Director for Continuing Student Enrollment and the Center for Academic Belonging & Learning Excellence within the Student Achievement Collaborative. This position will work 40 hours per week, 12 months a year.

Responsibilities

Support the Center for Academic Belonging & Learning Excellence - 60%

  • Maintain a strong working knowledge of USU processes to answer or route questions effectively.
  • Provide staff support, including scheduling appointments, coordinating meetings and conferences.
  • Greet and direct visitors.
  • Maintain strong relationships with front-line workers in other offices to provide accurate information, ask questions when needed, and make strong handoffs when it is necessary to transfer a call or question.
  • Ensure all students, parents, faculty, and staff receive prompt and exceptional customer service.
  • Manage the IT contracts for all in-office computers and laptops.
  • Process Travel Authorizations and Reimbursements for team members.
  • Maintain and order office supplies.
  • Manage office receipts including collecting, scanning, and reconciliation for all p-cards used by ABLE staff and student employees.
  • Schedule team meetings, luncheons, and huddles.
  • Serve as back up to manage the Aggie First Scholar’s mentor meal cards.
  • Work with student-facing offices such as: Orientation, Admissions, Financial Aid, Scholarships and Registrar’s Office in coordinating information between front-line staff.
  • Create an ABLE phone chart with names and numbers so calls and questions can be transferred accurately.
  • Maintain and update ABLE webpages.
  • Assist with student employee hiring by loading information into Service-now.
  • Create and manage various standard documents, correspondence, and reports.
    • USU-Prefix Course Scheduling:
      • Coordinate with the Provost’s Office and other stakeholders to determine which courses should be scheduled each semester.
      • Work with the course scheduling office to review and create each semester schedule for all USU-prefix courses.
      • Assist the Provost’s Office to review and approve all new instructor applications for the USU-prefix courses.
      • Provide support for the annual USU-Prefix Instructor Training held each summer.
      • Other duties as assigned.


Support Continuing Student Enrollment - 40%

  • Notification of Leave:
    • Hire, train, and supervise 2 part-time student employees in the processing of Notification of Leave.
    • Work with ServiceNow to make sure NOL is streamlined and collect pertinent information while following FERPA guidelines.
    • Receive inbound questions regarding the leave process and provide accurate, timely, and helpful information and guidance to students, their parents, and campus stakeholders.
  • Academic Action Notifications:
    • Manage spreadsheets related to changes in Academic Action.
    • Send communication to all students experiencing changes in academic standing.
    • Correspond with and answer questions from students regarding their academic standing.
    • Manage the Academic Action Qualtrics survey, distribute responses to appropriate stakeholders.
  • Retention & Completion Scholarships:
    • Assist with the awarding process for continuing student scholarships.
    • Correspond with students regarding scholarships.
    • Assist to collect, organize, and collate photos, bios, and letters of appreciation from scholarship recipients.
    • Work with UMAC to organize books for scholarship donors.
  • Support Continuing Student Enrollment Data and Outreach:
    • Run and distribute regularly scheduled ARGOS retention and persistence reports.
    • Assist with outreach campaigns
    • Collaborate with stakeholders in Statewide and Online to facilitate their outreach campaigns.

Qualifications

Minimum Qualifications:

  • Four years of experience; or an associate degree/technical training plus two years of experience; or a bachelor’s degree
  • Displayed communication skills including the ability to effectively convey information verbally and in writing.
  • Exhibited attention to detail.
  • Proven computer literacy and proficiency with Microsoft Office suite programs (particularly Excel), and a willingness and ability to learn additional computer software programs.
  • Committed to providing an equitable and accessible standard of care for all USU students.
  • Demonstrated ability to work with a variety of teams in a supportive environment.

Preferred Qualifications:

  • Knowledge regarding Utah State University services, academic policies, procedures, and resources.
  • Trained in data analytics utilizing Banner, ARGOS, CIVITAS, and Tableau (or comparable systems).
  • Familiarity with Qualtrics survey program.
  • Experience leading or supervising student employees.
  • Spanish speaker.
