Overview

The Staff Assistant will play a key role in supporting the operations of the Center for Community in fulfillment of its purpose to cultivate goodwill and greater understanding on campus and within communities. This position will provide administrative support for the Executive Director and team members. The incumbent will also provide logistical support for the Center's educational programs, events, engagement opportunities, and outreach efforts.

Responsibilities

Primary responsibilities of this position include, but are not limited to:

  • Administrative Support: Schedule and organize meetings, manage calendars, support special projects, maintain records of program activities and outcomes, compile reports.
  • Event Support: Coordinate logistics for event marketing and execution including scheduling venues, requesting catering orders, purchasing materials/ services. Facilitate messaging and engagement.
  • Outreach: Serve as a liaison with campus and community partners.
  • Office Duties: Greet and direct visitors, answer phones, route calls and messages, compile data and data entry, maintain files, sort mail.
  • Other Duties: as assigned.

Qualifications

Minimum Qualifications:

  • Four years of administrative assistant or office-related experience or an equivalent combination of post-secondary education plus experience.
  • Strong organizational and project management skills, with the ability to plan and execute multiple events and initiatives simultaneously.
  • Excellent communication and interpersonal skills with the ability to communicate in a professional manner.
  • Demonstrated experience working with individuals from different cultural backgrounds.
  • Ability to work independently and as part of a team, with a flexible and adaptive approach to a dynamic environment.
  • Ability to occasionally work some late or weekend hours for special events or projects.
  • Valid driver’s license to perform essential job responsibilities, such as driving university vehicles and transporting materials.
  • Strong computer skills in Microsoft Office.

Preferred Qualifications:

  • Knowledge of USU policies and procedures.
  • Experience with marketing platforms and social media.
  • Project management experience.
  • Strong skills with Adobe Acrobat.
  • Strong commitment to promoting different cultures and perspectives, fostering a sense of community.
