Overview

The Computer Science Department at Utah State University is seeking a qualified candidate for the Staff Assistant II position. This role involves providing administrative and secretarial support to ensure efficient department operations. The ideal candidate will be detail-oriented, organized, and capable of managing multiple tasks in a fast-paced environment.

Responsibilities

Administrative & Office Support:
  • Perform general office duties, including answering phones, directing calls, data entry, filing, and appointment scheduling.
  • Utilize office systems, including ServiceNow, Pcard, EZ-Buy, Box, and equipment management.
  • Scan and attach receipts in the Pcard system and ensure accurate record-keeping.
  • Process orders and build carts in EZ-Buy for purchasing needs.
  • Arrange maintenance of office equipment.
  • Manage office supplies, including ordering and inventory tracking.
Scheduling & Meeting Coordination:
  • Schedule appointments and coordinate meetings/conferences.
  • Prepare meeting agendas and record minutes.

Communication & Correspondence:

  • Greet and direct visitors.
  • Sort, screen, and distribute incoming and outgoing mail.
  • Draft, edit, and word-process various standard documents, correspondence, and reports.
Marketing & Web Support:
  • Contribute marketing materials and the annual department newsletter.
  • May update and create web content as needed.
Departmental & Program Support:
  • Provide administrative support for departmental programs and projects, including department-sponsored events.
  • Manage facilities requests for department buildings.
  • May provide non-business-related support as needed.
Research & Data Management:
  • Conduct research, compile data, and prepare reports and presentations for executives, committees, and directors.
Other Responsibilities:
  • Utilize ServiceNow for tracking requests and managing department workflows.
  • Perform miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualification:
  • Two years of experience in an office setting or an associate degree/vocational training is required.
Knowledge, Skills, and Abilities:
  • Technical Proficiency: Skilled in computer systems, software applications, and basic office equipment (printers, copiers, telephone systems).
  • Organizational Abilities: Strong organizational skills with attention to detail.
  • Communication Skills: Excellent verbal and written communication abilities.
  • Confidentiality & Discretion: Capable of handling sensitive business data and personal information securely.
  • Independence & Reliability: Able to work effectively without supervision.
  • Institutional Knowledge: Familiar with university policies and procedures.
  • Customer Service Excellence: Committed to providing outstanding customer service.
