Overview

USU Office of Events is responsible for managing a broad array of event and other non-academic scheduling needs, including conference rooms, green spaces, venues, study rooms, and other facilities across all USU campuses. The Training Facilitator will play a critical role in supporting the scheduling requirements of the University's non-academic spaces, ensuring efficient operations, and fostering inter-department communication. The successful candidate will be skilled in understanding the needs of multiple stakeholders, coordinating inter-departmental collaboration, and using scheduling management systems to facilitate smooth, coordinated operations.

 

This position requires a balance of operational expertise, technical knowledge, and strong communication skills to ensure the efficient management of non-academic spaces and events at USU. The Training Facilitator will be expected to contribute to the continuous improvement of scheduling processes and play a key role in fostering collaboration across all departments.

Responsibilities

Application Management:

  • Serving under the Central Reservations Manager, configure software changes and updates for departments in both campus scheduling software programs – Coursedog and Event Management System (EMS).
  • Serve as the primary point of contact for troubleshooting scheduling software issues for students, faculty, and staff. Diagnose common technical issues, guide users through solutions, and escalate complex problems to senior staff as necessary.
  • Meet with stakeholders often to create processes and best practices that fulfill their objectives then provide clear, user-friendly, and timely instructions and guidance to users on how to effectively use the scheduling systems.
  • Provide exceptional customer service to a diverse group of campus users, including students, faculty, and staff on all USU campuses, maintaining professionalism in all interactions.

Scheduling Coordination:

  • Collaborate with campus departments, student organizations, and external clients to ensure their scheduling needs are met in a timely and efficient manner.
  • Work with various campus entities to balance space utilization, addressing competing priorities, and ensuring effective cross-department communication.
  • Ensure that all reservation requests are processed according to university policies and procedures.
  • Assist in the development and implementation of policies and procedures for space reservation, utilization, and conflict resolution.

Data Management and Program Improvement:

  • Ensure accurate data entry, including reviewing data for errors or inconsistencies.
  • Generate and analyze reports on space usage, reservation trends, and other relevant metrics to inform decision-makers and improve scheduling processes.
  • Recommend improvements to scheduling workflows, systems, and policies based on feedback and operational experience.
  • Other duties as assigned.

Qualifications

Minimum Qualification:

  • Bachelor's degree plus minimum of 2 years (or a combination of 6 years of education and experience) in business administration, program coordination, project management, or in an event management role, preferably in a higher education, government, or other large organizational setting.

Knowledge, Skills, and Abilities:

  • Strong organizational skills, with the ability to manage multiple competing priorities and deadlines.
  • Excellent written and verbal communication skills, with the ability to interact professionally with diverse audiences.
  • Demonstrated ability to independently analyze and solve problems, using both creative and logical approaches.
  • Strong technical aptitude, with the ability to troubleshoot software and system issues.
  • Ability to work both independently and as part of a team in a fast-paced environment. Preferred Qualifications
  • Proficiency with scheduling or event management software (such as EMS, Coursedog, or similar platforms).
  • Familiarity with university policies and procedures related to space reservations and event planning.
  • Experience with large-scale data entry, reporting, and analysis.
  • Knowledge of space utilization strategies and inter-departmental coordination.
