Overview

This position serves as the main point of contact and coordinator for Admissions and Registrar’s office on the USU Blanding Campus. This position also serves as the front office/front line support in the Health Science Library (HSL) and helps to provide a friendly welcoming atmosphere for all students, staff, faculty and other visitors. The Incumbent in the Student Services Coordinator I position aids students in navigating the University, including areas such as completing or accessing admission applications or documents, assisting with registration, supplying records or documents as requested by students and resolves issues related to these areas. The incumbent collects documents and applications from scholarship candidates; may attend recruiting events to encourage and assist students with the admissions process. This incumbent also serves as the campus' backup cashier. This Incumbent assists current and prospective students, parents, staff, and/or faculty with a variety of inquiries and topics, greets, and assists students or other visitors.

Responsibilities

The Student Services Coordinator I reports to the Director of Students. This classification has no supervisory responsibilities.


Typical Functions:

  • Provides excellent customer service, follow-up, and engagement for all staff, faculty, students, and visitors.
  • Assists students with admission applications and performing the initial review of application documents.
  • Assists students throughout the registration process by reviewing holds, understanding degree/major requirements, and residency requirements.
  • Reviews degree/major selection with students, printing and mailing transcripts, admission letters, enrollment verifications, or any other document requests.
  • Follows established procedures in the implementation of systems and methods for academic support for specific populations.
  • Provides support for scholarship processes.
  • Participates in on-campus and off-campus recruiting events.
  • Maintains accuracy and confidentiality of student records in compliance with the Family Education Rights and Privacy Act (FERPA) regulations.
  • Communicates daily with students, parents, staff, and/or faculty via email, phone, and in-person, when needed.
  • Accepts and processes documents.
  • Provides guidance, troubleshooting, and problem-solving including researching information as necessary across University and external entities to respond to and address specific student or prospective student concerns and/or inquiries.
  • May train and guide student employees.
  • Collaborates on the maintenance of policy and training manuals.
  • Serve as campus backup Cashier.
  • Pull, analyze and process data requests for Student Services.
  • May be required to complete Federal and/or State compliance training.
  • Attend regular campus and statewide meetings or trainings.
  • Performs miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualifications:

  • Two years of experience in an office setting or an associate degree/vocational training is required.

Preferred Qualifications:

  • Experience working in a higher education setting.

Knowledge, Skills, and Abilities:

  • Excellent interpersonal skills and the ability to interact professionally with a diverse group of faculty, staff, and students through a variety of mediums (phone, in-person, email).
  • Skilled with computers and able to adapt to and learn new technologies as required.
  • Ability to interpret and apply guidelines, policies, procedures, and rules using sound judgement.
  • Ability to gather and analyze data to formulate solutions to problems.
  • Strong data and records management skills.
  • Knowledge of computerized student information systems.
  • Strong consultative and advisory skills.
  • Knowledge of policies and procedures pertaining to University student admissions, registration, and records.
