Overview

The Student Involvement and Leadership Center is seeking a Program Coordinator II to oversee the operations of the Student Events Office within the department. This position will coordinate, support and advise the Utah State University Student Association (USUSA) Student Events Office student officers (Executive Director of Student Events, Activities Director, Series Director and Traditions Director) and each of their committees as well as volunteers in fulfilling the objectives and goals as outlined in their individual officer position descriptions. Coordinate the day-to-day activities of these officers including monitoring program budget revenues and expenses to ensure all USU policies are followed and student fee use transparency is maintained. Ensure that they are safe and adhere to applicable Utah State University (USU) policies.

Responsibilities

  • Support and advise USUSA officers, their councils, committees, and volunteers in fulfilling the objectives and goals as outlined in their individual officer position descriptions. Educate these students as to resources available to them, and ensure compliance with university and department policies and procedures to provide for efficient preparation and evaluation of the events and activities.
    • Oversee the operations of the Student Events Office within USUSA. Student positions include: Student Events Executive Director, Activities Director, Series Director, and Traditions Director. Provide technical and/or professional coordination and leadership with the USUSA Officers in the execution of day-to-day program activities
    • Oversight of large-scale events and activities. Including but not limited to: Week of Welcome, Welcome Back Week, Homecoming Week, Mr. USU, Traditions Week, Holiday Week, Poetry & a Beverage, Robins Awards, Howl, Casino Night, and End of Year Bash
    • Independently exercise discretion in matters of office budgeting, purchasing, quality control, marketing, safety, risk mitigation, and other business operations.
    • Oversee the selection of all the Student Event directors with the support of the Student Event Executive Director
    • Process all contracts related to the Student Event Office
    • Hold weekly meetings with each officer, keeping current on new issues, policies, budget review, events, and other student involvement activities and/or concerns
    • Advise USUSA Officers use of their individual operating budgets. Monitor revenue and expenses for USU financial policy compliance.
    • Oversee management of USUSA Events Social Media accounts and adherence to University Marketing and Communications guidelines
    • Establish mutual performance expectations between advisor and students, continually evaluate job performance, and provide feedback as needed
    • Exhibit willingness to assist advisees in fulfilling their respective office goals by establishing an open, working relationship
    • Become familiar with all campus auxiliary services, community groups, and businesses that students may wish to utilize
    • Oversee all events that these officers plan. Exercise discretion and judgement on the safety and execution of the event. Contact Risk Management and police with any safety issues
    • Coordinate trainings, seminars, meetings, and special projects as needed or assigned
    • Serves as a principal liaison between student leaders, administrators, and external constituencies
  • Perform responsibilities for and serve on committees as assigned by the Executive Director of Student Involvement and Leadership Center (SILC), the Director of Involvement and Director of Leadership within SILC, as well as the Vice President for Student Affairs.
  • Help the SILC staff with the following:
    • Student Officer Training
    • Manage and maintain Canvas course and promotion materials, training manual, and/or brochures for the different programs within SILC
    • Aggie Blue Leadership Conference
    • Collect and analyze assessment data
    • Synthesize and report data on programs with the goal of solving problems and refining procedures and systems for improvement
    • Day on the Quad
    • Aggie Orientation
    • SILC Recruitment-Open Houses
    • Utah Professionals in ​Student  Involvement and Leadership (UPSIL) & Utah Leadership Academy (ULA) conference attendance and planning, where applicable
    • USUSA Awards Banquet
    • USUSA Clubs & Organizations meetings
    • USUSA Elections
  •  Other Duties as assigned

Qualifications

Minimum Qualifications:

  • Bachelor's degree plus two years of relevant experience; or a master's degree in a related field; or an equivalent combination of education plus experience is required.

Preferred Qualifications:

  • Experience working within higher education, specifically Student Affairs.
  • Student advising and coordinating experience.
  • Event planning and coordination experience, ideally within an educational environment.
  • Experience overseeing budgets and other fiscal responsibilities.
  • Experience with assessment, analyzing information, and evaluating results.

Knowledge, Skills, and Abilities:

  • Demonstrated problem-solving skills, particularly in a team setting.
  • Ability to solve problems and act independently, coordinating events, projects, and initiatives.
  • Excellent interpersonal skills, including both oral and written communications.
  • Strong organization skills and an ability to prioritize and complete simultaneous projects within deadlines.
