Overview

The Office of Data and Analytics (ODA) at Utah State University seeks a highly organized and detail-oriented part-time Staff Assistant/Coordinator to support office operations, communication workflows, and data-related initiatives. This position is ideal for someone who thrives in a collaborative environment, demonstrates initiative, and enjoys supporting projects that improve university-wide data use and decision-making. The position requires self-management, and excellent interpersonal and communication skills. The ideal candidate will demonstrate a track-record of successful experience working both independently and collaboratively.

Responsibilities

Manage institutional process of IDEA Student Ratings of Instruction:

  • Serve as the frontline employee for IDEA student ratings of instruction, communicating with departmental administrators, faculty and students throughout the IDEA process each semester.
  • Organize and host semesterly training sessions for staff assistants and administrators responsible for supporting IDEA surveys in their colleges or departments. Develop and maintain promotional, educational, and training materials on IDEA student ratings of instruction at USU.
  • Host ad-hoc small group or individual trainings on IDEA process via video call or in-person to students, faculty and staff.
  • Collaborate with programmers and analysts to ensure technical processes for uploading courses and enrollment into the IDEA Anthology database are accurate and efficient.
  • Assist ODA staff in updating IDEA visualizations and websites.

Provide institutional support for Watermark Faculty Success:

  • Serve as institutional support contact for college administrators of faculty activity tracking software Watermark Faculty Success.
  • Respond to technical support inquiries from faculty, staff and administrators.
  • Coordinate with individuals, colleges and departments to host ad-hoc small group or individual trainings on Watermark Faculty Success.
  • Collaborate with programmers and analysts to ensure technical processes for uploading and downloading data within Watermark Faculty
  • Success are done according to deadlines each semester and are complete and accurate.

Maintain institutional program inventory with regional accreditor:

  • Assist the Accreditation Liaison Officer (ALO) in maintaining the institutional portal with the Northwest Commission on Colleges and Universities (NWCCU).
  • Follow NWCCU policies and procedures to submit and request commission review of substantive changes in a timely manner.
  • Coordinate with the Office of the Provost, Registrar and other units to maintain accurate listing of academic programs.

Administrative and Office Support:

  • Provides administrative support, including answering phones, directing calls to appropriate parties, scheduling appointments, coordinating meetings/conferences, and maintaining/ordering office supplies.
  • Maintain calendars, manage email communication, order supplies, and assist with travel arrangements and reimbursements.
  • Sorts, screens, and distributes incoming and outgoing mail.
  • Perform miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualifications:

  • Four years of experience; or an associate degree/technical training plus two years of experience; or a bachelor’s degree is required.

Preferred Qualifications:

  • Experience at Utah State University or in a higher education environment.
  • Familiarity with USU platforms (e.g., ServiceNow, EZBuy, MyTime, Banner).
  • Experience with website content management and/or light graphic design (Canva, Adobe, etc.).
  • Familiarity with institutional data, IDEA SRI, Watermark, Tableau, or survey tools a plus.

Knowledge, Skills, and Abilities:

  • Strong verbal and written communication skills.
  • Excellent customer service skills.
  • Skilled with computer programs and ability to learn new software.
  • Excellent critical thinking skills and creative problem solving.
  • Skilled with basic office equipment, including printers, copiers, and telephone systems.
  • Good organizational skills.
  • Ability to handle sensitive and confidential business data and personal information.
  • Ability to work without supervision.
  • Knowledge of University policies and procedures.
