Overview

The Business Manager I position will be responsible for managing and coordinating the business operations of the Caine School of the Arts. The successful candidate will manage and coordinate the business operations of the school and assigned units including the oversight of activities such as: budget development and management, financial reporting, personnel processes, accounts payable, accounts receivable, contracts and grants, and other administrative functions. The role requires proactive problem-solving, strong collaboration skills, and a commitment to helping faculty, staff, and students. This position may train, guide and/or supervise business services staff and/or wage hourly employees.

Responsibilities

  • Functions as a primary resource and business consultant to the Director, Department Heads, faculty, and business services staff in the assigned area.
  • Oversees and manages daily activities and transactions within the department including p-card, purchasing, financial Banner, travel, and personnel processes by working with the college on posting and hiring of staff, faculty positions.
  • Performs functions such as budget preparation, budget reconciliation, EPAF requests, data management, and fiscal information support.
  • Ensures payroll is properly recorded and processed.
  • Develops and maintains databases.
  • Maintains annual budgets for a wide variety of accounts and grants using proper accounting/budgeting methods and retains records of financial figures for comparison with estimated budget.
  • Reconciles and reviews financial statements monthly to ensure accuracy.
  • Coordinates, designs, and implements financial/management systems for a wide variety of programs.
  • Processes graduate assistantships, tuition awards, scholarships, graduate insurance, and other sources of funding.
  • Collaborate across colleges and departments to ensure consistency and accuracy in financial processes.
  • Coordinates financial aspects of proposals, contracts, grants, etc. Assists staff in administering proposals to ensure compliance with federal, state, and university policies.
  • Commits to integrity, performs duties with diligence in accordance with professional standards and enforces university policies and procedures.
  • Uses relevant information and individual judgment to determine whether events or processes comply with laws, regulations, or standards.
  • Serves in the interest of Utah State University in a lawful manner while maintaining high standards of conduct and character.
  • Handles confidential information and manage projects effectively, and demonstrate reliability and strong work ethic.
  • Performs miscellaneous job-related duties as assigned.

Qualifications

Minimum Qualifications:

  • Bachelor’s degree in a business field or an equivalent combination of education plus experience is required.

Preferred Qualifications:

  • Previous university experience with knowledge of USU policies and procedures.
  • Working knowledge of Banner HR module, Argos, EZ-Buy, and ServiceNow.
  • Proactive in resolving issues, setting up processes, and providing high-level customer service.

Knowledge, Skills, and Abilities:

  1. Knowledge of finance enterprise systems and software.
  2. Computer skills, including Excel and Windows.
  3. Knowledge of management reporting systems.
  4. Knowledge of finance, accounting, budgeting, and cost control procedures.
  5. Knowledge of procedures used in the financial field.
  6. Ability to train and lead staff.
  7. Problem solving and critical thinking skills.
  8. Knowledge of contracting processes and associated local, state, federal, and other regulations.
  9. Ability to develop and maintain record keeping systems and procedures.
  10. Skilled in budget preparation and fiscal management.
  11. Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections.
  12. Knowledge of software to quantify and illustrate complex financial reports, comparisons, impacts, and/or projections.
  13. Knowledge of current business issues and trends.
