Overview

The Program Assistant III provides a unique combination of technical and administrative support for the National Center for Hearing Assessment and Management (NCHAM). This individual plays a vital role in both the operational and customer service aspects of the organization, assisting with data system support, program logistics, training, and financial coordination. The position requires initiative, attention to detail, and a strong commitment to service and collaboration. This position may work between 30 - 40 hours per week depending on program needs and the candidate selected.

Responsibilities

Administrative and Program Operations:

  • Provide clerical and office management support including scheduling, meeting coordination, and recordkeeping.
  • Assist with conference and workshop logistics, including travel and accommodations.
  • Compose professional correspondence and serve as facilities liaison.
  • Support design, editing, and publishing efforts for newsletters and journals.
  • Performs miscellaneous job-related duties as needed.

Financial and Business Support:

  • Act as travel and purchasing coordinator, processing travel authorizations, reimbursements, PCard transactions, and purchase orders.
  • Track revenue, invoices, and payments for training programs and PayPal accounts.
  • Collaborate with Business Services on hiring, salary changes, invoicing, and accounting entries.

Technical Support and Software Training:

  • Train new and existing HiTrack customers on effective use of HiTrack software.
  • Respond to customer support inquiries and perform technical troubleshooting via phone and email.
  • Serve as a liaison between clients and the HiTrack Development Team for complex issues.
  • Provide support for hospital and research staff nationwide on general Early Hearing Detection & Intervention (EHDI) topics.
  • Update user manuals and support documentation regularly.
  • Support HiTrack and EHDI-PALS software applications as needed.

Qualifications

Minimum Qualifications:

  • Four years of experience in a relevant role; or an associate degree plus two years of experience; or a bachelor’s degree.

Knowledge, Skills & Abilities:

  • Customer Service & Communication
    • Excellent verbal, written, and listening communication skills.
    • Strong interpersonal skills with the ability to interact effectively with individuals in person, by phone, and via email.
    • Active listening and service-oriented mindset with professionalism in handling sensitive or frustrated customers.
  • Technical Proficiency
    • Ability to learn and support specialized software (e.g., HiTrack, EHDI-PALS).
    • Basic understanding of computer hardware and standard office equipment (printers, copiers, telephone systems).
    • Proficient in Windows operating systems, Google Chrome, Microsoft Office Suite, and email applications.
  • Administrative & Organizational Skills
    • Strong organizational and time management skills with the ability to manage multiple priorities.
    • Skilled in scheduling, coordinating meetings and events, and maintaining records.
    • Ability to compose and edit written materials and routine professional correspondence.
    • Knowledge of supply/inventory tracking and ordering processes.
  • Financial & Business Operations
    • Ability to process travel authorizations, reimbursements, and purchasing transactions in accordance with policies.
    • Familiarity with account coding, invoice processing, and revenue tracking.
    • Ability to liaise with business offices for HR, purchasing, and financial matters.
  • Teamwork & Problem Solving
    • Ability to work collaboratively as part of a multidisciplinary team.
    • Self-motivated and adaptable to new challenges and environments.
    • Skilled in creative problem-solving and independent decision-making.
    • Willingness to accept and act on constructive feedback.

    • Knowledge of data confidentiality practices and ability to handle sensitive information with discretion.

Funding Statement

The Institute for Disability Research, Policy, & Practice is one of the largest research and outreach centers at USU, and we are largely funded through grants, contracts, and fee-for-service programs. All staff positions at the IDRPP are contingent upon funding, and all senior staff at the IDRPP with graduate degrees are responsible for helping to generate funding to support our operations and growth.
