Overview

The Emma Eccles Jones College of Education and Human Services is seeking four motivated, detail-oriented individuals to join our business services team as Business Process Specialists (Business Assistant II or III). These positions play a key role in supporting college departments through a variety of functions, including personnel services, travel transaction processing, purchasing, and general department support.

 

Depending on qualifications, experience, and the scope of responsibilities assigned (see Qualifications section for details), successful candidates will be hired at either the Business Assistant II or III level. Individuals hired at the Business Assistant III level will be expected to take on duties of greater scope and complexity.

 

Each role may be filled at 30 to 40 hours per week, based on operational needs and in consultation with the selected candidates.

Responsibilities

The Business Process Specialists will support designated departments with responsibilities tailored to operational needs and aligned with the candidate’s skills and experience.

  • Provides employee services support
    • Responsible for providing responsive, service-focused support for hiring, onboarding, payroll processing, leave management, and compliance with HR policies and employment regulations for support departments to ensure efficient and accurate personnel operations.
  • Provides travel transaction support
    • Responsible for preparing and processing travel transactions for designated support departments.
  • Provides purchasing and p-card support
    • Responsible for preparation and processing of purchasing transactions through the university’s approved purchasing system and university purchasing cards (p-card) for designated support departments.
  • Provides inventory and equipment management
    • Responsible for the inventory and non-capital inventory for designated support departments.
  • Provides cash handling support
    • Responsible for accurately and promptly handling funds in accordance with university policies for designated support departments.
  • Provides financial and department support
    • Responsible for providing billing, reconciliation, and administrative support to designated departments, ensuring accuracy, confidentiality, and compliance with applicable policies and procedures

Qualifications

Minimum Qualifications

Each position will be hired at either a Business Assistant II or III based upon the following qualifications and responsibilities assigned:

  • Business Assistant II: Four years of directly related financial work experience with increasing responsibilities or associate degree/technical training plus two years of related work experience or an equivalent combination of education plus experience.
  • Business Assistant III: Six years of directly related financial work experience with increasing responsibilities or bachelor’s degree in a business field plus two years of experience or an equivalent combination of education plus experience is required.

Preferred Qualifications

  • Working knowledge of USU’s HR, purchasing, travel, and operational policies and the associated systems.
  • Experience working in an academic department or university setting.
  • Working knowledge of Banner, including HR, Finance, and Student modules.
  • Familiarity with Argos and ServiceNow, including experience with the P-Card system as a receipt attacher or cardholder.
  • Knowledge of inventory management processes and experience using the university's property management system.
  • Experience with payroll processing at USU, including use of AggieTime and Banner.
  • Experience with MyTime, including setting up schedules and managing leave.
  • Experience working in a HIPAA-regulated environment.

Knowledge, Skills, and Abilities:

  • Knowledge of purchasing, accounts payable, and payroll procedures, particularly within a public institution or university setting.
  • Familiarity with university policies, procedures, and terminology related to financial and administrative operations.
  • Proficiency in computer programs such as Excel, relational databases, and general office software.
  • Skilled in the use of basic office equipment, including printers, copiers, scanners, and telephone systems.
  • Strong organizational skills with the ability to manage multiple responsibilities, meet deadlines, and self-assess performance.
  • Ability to develop professional correspondence.
  • Strong interpersonal skills and the ability to work collaboratively with a diverse group of colleagues, faculty, staff, and students.
  • Demonstrated ability to provide excellent customer service with professionalism, tact, and discretion.
  • Proven ability to handle sensitive and confidential information appropriately.
  • Ability to work independently, take initiative, and proactively resolve issues or improve processes.
  • Ability to contribute to a positive, team-oriented environment within departments and college.

Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes.  The employee is regularly required to sit and often uses repetitive hand motions.
